Office Manager - Administrative Support
A French manufacturing company is seeking an experienced candidate for the position of Office Manager/Administrator.
Duties and Responsibilities:
- Responsible for Onboarding new hires, including sending and managing all new hire documents.
- Manage relationships with vendors and service providers ensuring that all invoices are processed and paid timely.
- Contact customers daily to collect on open receivables. Work with the Sales Team on high-risk/past-due accounts.
- Responsible for processing customer credit card payments and refunds.
- Assist the Accounting Manager with month-end close.
- Collect and process the sales team’s expenses, reviewing for accuracy and compliance.
- Event Management for events such as annual sales meetings, customer events, and customer meetings.
- Establish procedures for record retention and ensure the process is followed.
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement and office systems.
- Assist and lead special projects as needed.
- Interface with customers on resolutions of certain customer issues like collections, refunds, warranties, etc.
- Serve as an overflow resource for certain back-office functions like customer service and order management.
- Travel 15-20 days a year.
- Perform daily reconciliation of shipments and invoice customer daily
- Contact customer to collect on open receivables.
- Work with sales team on high risk/past due accounts
Skill Requirements:
- Proven office management, administrative, or assistant experience.
- Knowledge of office management responsibilities, systems, and procedures.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Bilingual in English & Spanish is PLUS! Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Highly Proficient in Microsoft Office.
- Oracle NetSuite software knowledge is a PLUS!
- Knowledge of accounting, data, and administrative management practices and procedures.
- Knowledge of clerical practices and procedures.
- Knowledge of human resources management practices and procedures.
- Knowledge of business and management principles.
- Computer skills and knowledge of office software packages.
Physical Setting:
- Remote
Compensation / Pay Rate (Up to): $65,000.00 - $85,000.00 Per Year
