We are looking for an experienced Office Manager & Admin to join the US Team in our Teaneck NJ office.
The position is temporary for 4-6 months - starting June 2024, and includes working daily at our NJ office - Working Hours: 9 am - 5 pm Monday - Friday from our NJ .
A day in the life and how you’ll make an impact:
- Heavy calendar management for our CEO with the ability to pivot quickly and collaborate effectively with internal and external partners.
- Communicate with internal team members and external partners.
- Handle logistics for meetings, organizing agendas, preparing materials, taking notes/action items when required, and ensuring availability of attendees.
- Manage domestic and international travel arrangements ensuring tight schedules and well articulated agendas.
- Prepare expense reports and purchase requisitions including monthly expense reconciliation and on-demand travel expense reports.
- Uphold a very strict level of confidentiality for the executives and their teams.
- Arrange office team building activities, offsites, and social events.
- Manage office and admin budgets.
- Monitor office supplies and order new supplies, swag, new hire kits, food and other items as required.
- Maintain badge system, verizon account and doordash accounts.
- Assist with onboarding of new employees, remote and local.
- Capable of handling administrative and office manager ad-hoc projects.
Requirements
- At least 5 years of proven experience in a similar role, preferably from a startup company.
- Strong interpersonal and communication skills and ability to multitask.
- High level of confidentiality.
- Willingness to ‘roll up the sleeves’.
- Strong project management skills.
- Full Proficiency with MS Office and google.
Ideally, we’re looking for:
- Experience working in startup companies
- Experience with working with Navan
