We are seeking a highly motivated and experienced Office Manager/Administrator to join our dynamic team in the Accounting and Finance industry. This is a permanent full-time position where you will play a key role in ensuring the smooth operation of our office by undertaking a range of administrative and office management tasks. This role will provide you with an exciting opportunity to work in a fast-paced environment where you will be an integral part of our team, contributing to the success of our organization.
Responsibilities:
As an Office Manager/Administrator, your primary responsibilities will include:
1. Managing the day-to-day operations of the office and ensuring that it runs smoothly.
2. Coordinating office activities and operations to secure efficiency and compliance with company policies.
3. Supervising administrative staff and dividing responsibilities to ensure performance.
4. Managing agendas, travel plans and appointments for upper management.
5. Managing phone calls and correspondence (e-mail, letters, packages etc.)
6. Supporting bookkeeping and budgeting procedures.
7. Creating and updating records and databases with personnel, financial and other data.
8. Assisting in the preparation of regularly scheduled reports.
9. Handling tax-related tasks such as preparing tax returns and ensuring compliance with tax laws.
10. Providing excellent customer service, addressing inquiries, and resolving problems promptly.
11. Utilizing the Microsoft Office Suite to create, manage, and distribute internal and external communications.
Qualifications:
To be considered for this role, you will need to meet the following qualifications:
1. A minimum of 5 years of experience in an administrative role, preferably within the Accounting and Finance industry.
2. Proficient in the Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
3. Experience in scheduling, managing calendars, and coordinating meetings.
4. Knowledge and experience in handling tax-related tasks.
5. Outstanding customer service skills with the ability to handle inquiries and resolve issues in a professional manner.
6. Excellent written and verbal communication skills.
7. Strong organizational skills with the ability to multitask and prioritize workloads.
8. Ability to work independently and as part of a team.
9. High attention to detail and problem-solving skills.
10. A degree in Business Administration or a related field would be advantageous.
