The Santa Clarita Community College District/College of the Canyons Foundation is seeking a full-time Office and Events Coordinator in the Foundation office.
Compensation Salary Placement:
College of the Canyons Foundation is a non-profit entity, separate from the Santa Clarita Community College District (SCCCD). Candidate selected for the position will be a Foundation employee and will be entitled to the salary and employee benefits offered by the Foundation, which may be different from the salary and benefits offered to employees of the SCCCD. This position is not represented by the California School Employees Association (CSEA) nor assigned to any District salary schedule.
Initial salary placement will be between $75,000.00 - $80,000.00 annually contingent upon qualification. Probationary period for new Foundation employees is one year. Work year is 12 calendar months. The normal workweek for this position is 40 hours. 10 vacation days accrue during first year of employment. A regular work schedule will be assigned, with the ability to work a flexible schedule, including nights and weekends, as needed.

Position Description:
Under the supervision of the Chief Development Officer of the College of the Canyons Foundation, performs a variety of complex and specialized duties including; coordinating all aspects of Foundation special events, administrative, clerical, specialized office support functions, advancement of fundraising initiatives and projects. Serves as a confidential aide to the Chief Development Officer and/or other professional staff providing them with support of clerical duties involving the Foundation’s events and fundraising programs.
This position is a Foundation funded position, not a District position. Therefore, it is not part of the Classified Union (CSEA). Three (3) years of experience as an event coordinator, including marketing, online communications, website management and organizing fundraising activities, events or similar. Proficient in MS Word, Excel, Outlook in a Windows environment; experience in administrative software system, accounting, record keeping, and outreach activities.
Education:
Education equivalent to an Associate’s degree (60 semester units) from an accredited college or university is required. Two additional years of related experience in addition to that identified above may be substituted for each year (30 units of education requirement. Additional education or Bachelor degree desirable.
Desirable Qualifications:
Position is a stationary position and requires use of a computer for extended periods of time plus frequent periods of movement from one area to another, which may include traversing to different floors of a building; operating a computer and related equipment; communicating and providing information to others; working with various materials and objects; frequently exert 10 to 20 pounds of force to move objects; may be exposed to occasional contact with dissatisfied individuals; and travel from site-to-site. In the event of an emergency, employees will be relied upon to serve as emergency workers.

- Coordinates, executes and evaluates all aspects of the Foundation’s special events and meetings, assists with sponsor solicitation to meet annual fundraising goals.
- Reserves event venues, rentals and leads planning efforts for Foundation events. Establishes contracts with the assistance of Business Services for all event vendors.
- Coordinates event hospitality, seating charts and arrangements, special requests and accommodations.
- Collaborates with event committees, creates timelines and programs, ensuring all deliverables are accomplished in a timely manner.
- Serves as administrative aide and liaison between the Chief Development Officer and/or other professional staff and the community, staff and other District officials and departments.
- Assists in planning, as well as provides specialized administrative and clerical functions in support of Foundation programs and budgets.
- Assists with Foundation board meeting support, including but not limited to; agendas, minutes, and other coordination.
- Coordinates content for event marketing materials. Arranges the marketing of events through the campus calendar, email, social media, and other marketing venues. Coordinates the submission and creation of all design and print material requests from PIO and Reprographics.
- Recommends and implements techniques and practices to improve events to the Chief Development Officer.
- Performs routine administrative tasks including maintaining event calendars, schedules and appointments, picking up and distributing mail, processing event purchase requisitions, answering and redirecting inquires, and tracking and maintaining confidential files and records.
- Ensures the events are coordinated with the Chancellor’s office and submits speech requests.
- Participates on college and community committees, attends special meetings, conferences and luncheons as directed.
- Monitors event budgets, credit card expenses, and other financial items under supervision of the Foundation Administration. Assists with the maintenance and coordination of departmental event annual budgets to ensure that expenditures do not exceed the established budget.
- Coordinates event-related purchases such as food and beverages, cutlery, decorations, alcohol, and other supplies as needed.
- Coordinates the set-up and clean-up of all department events, in coordination with campus Facilities/Civic Center.
- Under the supervision of the Chief Development Officer, directs the work of volunteer staff. Prepares hire authorizations for college assistants and other part time staff.
- Performs data input and data retrieval for all relevant department functions, reports, contact spreadsheets, email distribution lists and managing RSVP lists.
- Creates, maintains, and monitors online event registration web pages in Raiser’s Edge and NXT database.
- Maintains all event registrants ensuring registration fees, meal choices, ads, etc. are accurately tracked.
- Runs reports and exports data lists for events such as sponsor lists, event attendees, and participation.
- Performs other related duties as assigned.
Demonstrated Knowledge and Abilities:

The single college within the Santa Clarita Community College District, College of the Canyons is located in Santa Clarita, the third most populous city in Los Angeles County, and serves a 367-square-mile area in the northern part of the county. The college’s two campuses are just a short drive from downtown Los Angeles.
