About the Job
We are looking for a friendly and organized Office Coordinator to join our team. As the first point of contact for our office, you will play a crucial role in creating a welcoming environment for visitors and providing essential administrative support. Your responsibilities will include:
Requirements
- Greeting visitors and directing them to the appropriate person or department.
- Answering and managing incoming phone calls, and routing them to the correct individuals.
- Performing general clerical tasks such as photocopying, filing, and organizing documents.
- Handling incoming and outgoing mail and packages.
- Coordinating meetings and conferences, including arranging meeting rooms and catering.
- Providing excellent customer service to clients, visitors, and staff.
- Relaying messages and information between different departments or individuals.
- Monitoring and controlling access to the premises.
- Utilizing office equipment, such as computers, phones, and photocopiers.
- Addressing basic problems and issues that may arise in the reception area.
- Coordinating office activities and operations to ensure efficiency and compliance with company policies.
- Managing agendas, travel plans, and appointments for upper management.
- Supporting bookkeeping and budgeting procedures.
- Creating and updating records and databases with personnel, financial, and other data.
- Tracking and replacing office supplies as necessary to avoid interruptions in standard front office procedures.
- Submitting reports and preparing proposals and presentations as needed.
- Assisting colleagues whenever there is an opportunity to do so.
This mid-level support role involves completing routine technical and administrative tasks under moderate supervision. The ideal candidate will have at least 1 year of related experience.
Qualifications:- High school diploma or equivalent; additional certification in Office Management is a plus.
- Proven work experience as a Receptionist, Office Administrator, or similar role.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g., fax machines and printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- Familiarity with office management procedures and basic accounting principles.
- Excellent knowledge of office management software (ERP, etc.) is preferred.
