Position Overview:
Ultimate Staffing is looking for a detail-oriented and proactive administrative Office Coordinator for a fantastic opportunity in Rockville, MD. The ideal candidate will be essential in maintaining the office's smooth and efficient operations. This role requires excellent organizational abilities, multitasking skills, and strong communication proficiency.
Key Responsibilities:
- Communication Management:
- Handle and direct incoming phone calls and emails
- Offer general support to visitors and staff
- Scheduling and Coordination:
- Organize and schedule meetings and appointments
- Records and Database Management:
- Maintain and update office records and databases
- Report and Presentation Assistance:
- Assist in the preparation of reports and presentations
- Office Supplies Management:
- Order and manage office supplies and inventory
- Mail and Delivery Handling:
- Manage incoming and outgoing mail and deliveries
- Clerical Duties:
- Perform filing, photocopying, and scanning tasks
- Project Assistance:
- Support special projects and other administrative tasks as assigned
Qualifications:
- High School diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are advantageous
- Proven experience as an administrative assistant or in a related role
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Attention to detail and problem-solving abilities
- Ability to work independently and as part of a team
