As part-time Office Administrator, your role is to deliver meaningful daily experiences that reflect our company culture and give our employees the ability to make a significant impact. Whether maintaining the office, managing calendars, handling facilities, or coordinating holiday parties, strong organization, creativity, and communication skills will make you successful in this position.
This part-time contract position is based in our office in Mountain View, CA and will be required to be in the office 5 days a week, Monday-Friday from 8:30am - 2:00pm.
What You'll Do:
- Act as the face of the company, greeting visitors, coordinating office and building access for employees, vendors, and visitors
- Be the go-to person for our facilities, vendors, mail, supplies, and building management to ensure a smooth-running office
- Coordinate interviews, greet candidates, and provide a positive experience in partnership with Talent Acquisition
- Support the People team by managing calendars and participating in meetings
- Manage Study.com swag process for employees and new hires
- Purchase, organize, and maintain office and kitchen supplies
- Act as the liaison between property vendors, including landscaping, HVAC, and electrical
- Organize and implement regular events (weekly lunches and happy hours), as well as create memorable celebrations for company outings (summer events, hack-a-thons) and holiday parties
- Set up meeting rooms for presentations, meetings, classes, and other events
- Assist IT team with office and conference room set ups and basic desktop support
- Manage accommodations for off-site meetups, executive travel, and candidate travel
What You'll Bring To The Role:
- 2-4 years' experience in administration or office management
- Bachelor's degree or equivalent experience
- A passion for and demonstrated skills in delivering an exceptional office experience
- Proficiency in MS Office Suite and other technologies (e.g. Notion, Expensify, Greenhouse, Canva)
- An approachable, energetic and can-do attitude with a keen eye for detail
- Strong administrative skills with the ability to multitask and intuitively shift priorities quickly
- Skillful, resourceful, and creative mindset, finding enjoyment working in a fast-paced environment
- Clear communication skills through engaging messages and presentations
- Experience managing calendars strongly preferred
The salary range for this part-time contract position is $24-$27 per hour. Pay and is dependent upon factors including skills, work experience, business needs, and market demands.
