About the Job
Answer incoming calls and directs callers to appropriate personnel by performing the following duties. Greets and directs on site visitors. Responsible for purchasing of office supplies and coordinating with facilities vendors. Delivers mail. Assists with the Company car program and event planning as needed. Responsible for facilities management.
Essential Duties & Responsibilities:
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Retrieves messages from voice mail and forwards to appropriate personnel.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Negotiates pricing, orders, receives, and maintains office supplies including kitchen supplies, stationary, packing materials and business cards.
- Receives, sends, sorts, and routes mail and faxes.
- Responsible for facilities management.
- Maintains office equipment including postage machine.
- Assists in event planning.
- Coding and approval of invoices for accounting purposes.
- Coordinates maintenance work for office.
- Assist with Company Car Plan administration.
- Performs other clerical duties as needed, such as filing, photo copying, mailing and collating.
Education & Requirements:
- High school diploma or general education degree (GED) required; and 1 to 3 years related experience.
- To perform this job successfully, an individual should have knowledge of spreadsheet software and Word Processing software.
- Valid drivers license
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
- Ability to add, subtract, multiply, and divide using whole numbers, common fractions, and decimals.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Up to 10% local travel.
