Gibson Stainless is seeking an Office Coordinator to join its team. We are a privately held, family owned and operated manufacturing company that is dedicated to delivering exceptional customer service and high-quality products.
The Office Coordinator will serve as the first point of contact for customers and play a vital role in ensuring customer satisfaction and maintaining our reputation for excellence. In addition to reception duties, this position will provide flexible support across various departments, ensuring smooth operations wherever needed. This role requires excellent communication skills, attention to detail, and adaptability.
Key Responsibilities:
- Answer and direct all phone calls (5 lines) to the appropriate departments, ensuring a friendly and helpful experience
- Assist in order processing by checking the accuracy of orders entered into the system
- Accounts payable duties including matching packing slips to invoices and entering payables
- Greet and welcome visitors in a professional manner
- Help with administrative tasks such as filing, data entry, and document preparation
- Manage office supplies inventory, ordering as needed
- Support other departments by taking on responsibilities during absences, peak times, or special projects
Qualifications:
- An associate or bachelor's degree is preferred
- Previous experience of 5+ years in an office or administrative role
- Previous accounting experience is a plus
- Exceptional communication skills, both verbal and written, with strong attention to detail
- Strong organizational and time management skills, capable of handling multiple tasks simultaneously
- Ability to work independently and as part of a team, demonstrating a positive and adaptable attitude
- Proficient with Microsoft Outlook, Word, and Excel
