Title: Office Concierge 2 Montague Location in Brooklyn (Monday, Wednesday, and Friday 9 am - 5 pm) (Tuesday and Thursday 11 am- 7 pm)

Position Summary:

Graham Windham is looking for an organized, outgoing Receptionist/Office Manager at our Montague Street location in Brooklyn. In this position, you will assist with a variety of clerical and administrative duties. These tasks include but are not limited to greeting clients, answering phones, taking messages, managing email and mail correspondence, and site calendaring. You may also assist with invoicing, and ordering office supplies. Since you will be the first person families/guests see as they walk through our door, we are looking for a welcoming individual who can provide great customer service while maintaining a professional appearance at all times.

Receptionist/Office Assistant Duties and Responsibilities

Welcome families and visitors.
Answer phones and take messages.
Respond to emails.
Manage inventory of office supplies.
Perform other clerical tasks as needed.
Assist programs with laundry and shower room scheduling.
Replenishing of community refrigerator/supply/snacks.
Keeping the play area clean and organized.
Oversee locker usage.
Work in conjunction with the cleaning team to ensure site cleanness.
Maintain open communication with supervisor/leaders in regard to security and maintenance concerns.
Provide coverage as needed for the neighboring Graham Windham location (1PP).

Conference Room Booking & Guests Services:

Timely management of conference room accommodations (includes reservation, audio-visual equipment, food service supplies)
Screens incoming calls, and takes phone messages.
Greets and directs families/guests to the proper areas of service.
Assist with the set-up and takedown of conference rooms for meetings.

Interoffice and External Mail Services

Arrange inter-office mail for messenger service.
Sort, process, and distribute mail and incoming mail from Graham-Windham sites.

Qualifications:

High school diploma or GED certificate
Administrative or clerical experience preferred
Computer proficiency with Outlook, Word, Excel, and Google Docs
A proven capacity to work inclusively and collaboratively with program, fiscal, and administrative leadership, as well as external stakeholders.
