SUMMARY
NMIC’s Office Assistant with Security License position provides support to the Operations Team at both the Manhattan and Bronx offices. This position will ensure securing premises and monitoring personnel by patrolling property; monitoring surveillance equipment; patrolling building, equipment, and access points for NMIC offices. Including, providing reception, data entry, and operations tasks support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Security Responsibilities
- Inspect building at the beginning of the shift to ensure all equipment is functional.
- Patrol and inspect buildings to protect against fire, theft, vandalism, and to deter criminal activity or other problems related to client/employee safety.
- Maintain order and direct clients to the proper location in the office.
- Make sure people are not loitering or smoking on the premises.
- Aid employees with clients who are disruptive.
- Write incident reports describing any problems, accidents, theft or incidents that occurred during on-duty shifts.
- At the end of the evening, make sure all of the staff and students have left all floors.
- Lock the doors, including stairwell doors, and set alarms where necessary.
- Ensure the main entrance/exit of offices are secure after hours.
- Patrol office in a regular manner during work hours.
- Monitor sidewalk/sweep/assist in placing snow melt when maintenance is unavailable.
- Other related duties as assigned.
Administrative/Operations Responsibilities
- Welcome and greet guests warmly and professionally.
- Direct client traffic to designated programs and staff quickly and efficiently.
- Implement/confirm that staff is using the Client Access Scheduler with bookings.
- Enter information on the security excel sheet with all issues arising daily
- Accept any client feedback, positive or negative, professionally and forward it to relevant program and management staff to be addressed appropriately.
- Provide proactive feedback about how to improve NMIC’s reception processes to maintain the highest quality guest experience possible.
- Attend department and agency wide meetings as scheduled.
- Assist with programmatic and operations data entry as time allows.
- Conduct client outreach as needed for various programs e.g., health screenings, success stories, food pantry attendance.
- Assist with archiving of NMIC client files, enter case information into a database for tracking purposes.
- Serve as a backup agency-wide telephone receptionist.
- Serve as a backup agency wide onsite receptionist.
- Assist with tech-related tasks.
- Assist and participate in Fire Safety Action Plan (Attend certification trainings, exams)
- Assist with Fire Safety Brigade
- Assist with event planning and site visits.
- Monitor and replenish office supplies.
- Other related duties as assigned.
QUALIFICATIONS
- HS or GED, preferred with 2(+) years as a security officer/reception experience.
- NYS Security Officer certification/license is required.
- Must be at least 21 years old with the ability to work in the United States.
- Criminal background check required.
- Bilingual skills in Spanish/English required as well as proficiency with written English.
- Knowledge of relevant equipment, policies, procedures, and strategies to promote effective security operations for the protection of people, data, property, and institutions.
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- IT knowledge including Microsoft Office, troubleshooting, internet, hardware & software
- Certification in any of the following is a plus:
- First-Aid/CPR/AED (American Heart Association/ American Red Cross)
- Chemical Agent Certification (Hand-Held)
- Expandable Baton Certification
- F89-Fire Safety Director Certification specifically for 45 Wadsworth building
