JOB SUMMARY
The SF Office Assistant will provide administrative support in the day-to-day operation of Burning Man Project’s San Francisco Office, meeting the ongoing and evolving needs of the organization. This collaborative role utilizes best practices to carry out organizational functions, enhancing office operations and culture. They will regularly seek input from and offer feedback to office leadership.
This is a temporary, part-time, non-exempt role, based in the San Francisco Bay Area (BMHQ) running from May to July, 2024.

DUTIES & ESSENTIAL JOB FUNCTIONS
PERCENTAGE OF TIME SPENT
Communications (25%)
- Front-of-house duties include welcoming visitors and staff to the office and answering the Butterfly system for front-door deliveries and guests.
- Answer incoming calls on a multi-line phone system; taking and delivering messages or transferring calls as needed.
- Receive and respond to emails in accordance with organizational standards.
- Communicate with staff members via internal messaging system as needed.
- Attend the weekly all-staff meeting, weekly check-in with the Office Administrator, and other meetings as appropriate and requested.
- Ensure that private and privileged information pertaining to Burning Man Project, its operations, and staff remains confidential.
General Administrative (25%)
- Process incoming and outgoing mail and deliveries.
- Receive and distribute packages, and notify staff of incoming deliveries as needed.
- Assist staff members with shipping and mailing needs.
- Keep abreast of organizational timelines, important dates, and office closures.
- Keep the mailroom clean and organized.
- Assist in inventory and ordering for office supplies.
- Print and post daily calendars for meeting room schedules.
- Provide general administrative support for the Office Administrator.
- Assist in planning and implementing staff enrichment events and activities
Office Maintenance (20%)
- Maintain a clean and organized workspace.
- Assist in light office cleaning duties. Uphold Burning Man Project’s Leave No Trace principle.
- Ensure all meeting rooms and common areas are tidy and equipped with the proper supplies.
- Clean kitchen surfaces, run the dishwashers as needed, keep food storage areas clean and free of old foodstuffs.
- Help clean and organize hospitality closet, cabinets, and storage areas.
Hospitality (25%)
- Organization, set up, and clean up in support of staff hospitality functions.
- Work with BMP staff and Office Administrator to order and stock snacks, drinks, and event needs.
- Help to arrange lunch and snack service.
- Partner with Facilities Manager to ensure proper waste management and recycling daily, and after events.
Other Functions and Responsibilities (5%)
- Perform other duties as assigned.
LEARNING AND TEACHING
- Documentation - Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties.
- Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.
- Training development - Collaborates with the Education team to develop training materials in their area of expertise, as requested.
- Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.
QUALIFICATIONS
REQUIRED
- Ability to work in person at Burning Man’s San Francisco Office location - this is not a remote job.
- Previous experience as Administrative Assistant.
- Familiarity with Google Sheets, Google Docs, and collaboration tools such as Slack and Asana.
- A motivated and meticulous approach to work and an eye for detail.
- Willingness to learn and to proactively ask clarifying questions.
- Comfortable interfacing with our diverse workforce.
- Ability to maintain confidentiality.
- Professional demeanor, and effective verbal and written communication skills.
PREFERRED
- It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

COMPENSATION:
Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated pay rate for this position is $20.00 - $26.00 per hour.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
Work is primarily sedentary in nature but does include regular lifting, loading, carrying, reaching, walking, kneeling, squatting, and bending.
