Mr. Ammonia Refrigeration Inc. is looking for a professional and highly motivated Office Assistant with excellent communication skills and a team-oriented attitude. As a small and fast-paced organization, we are seeking someone who can multitask efficiently and has strong organizational skills, attention to detail, and the ability to follow up on requests promptly. In this role, you will act as a liaison between the owner and various internal and external associates to meet customer needs, working with office administration, subcontractors, vendors, customers, service technicians, welders, and warehouse staff daily.
This role includes project management, estimating, and handling various office administrative tasks. You will be responsible for creating quotes in QuickBooks, coordinating with vendors for parts, and following up with customers to ensure smooth operations.

- Prepare parts quotes based on email requests and recommendations from service technicians.
- Create and manage invoices using QuickBooks.
- Maintain and update Google Sheets for proposals, scheduling, and purchase orders.
- Handle return shipments, including obtaining RMA and preparing shipping documents.
- Request quotes and bids from vendors for parts and materials, and provide quotes to customers.
- Manage inventory and ensure proper stock levels.
- Request insurance certificates from subcontractors and upload them to the ISN website.
- Prepare and send monthly statements to customers.
- Manage collections and perform monthly reviews of receivables.
- Double-check and audit Google Sheets entries for accuracy, including proposals, schedules, and purchase orders.
- Assist with vehicle maintenance planning and update scheduled PM tasks.
- Proven experience in office administration or a similar role.
- Proficiency in QuickBooks for invoicing and quote management.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to work in a fast-paced environment and manage multiple responsibilities.
- Proficiency in Google Sheets or Microsoft Excel for managing schedules and records.
- Experience in inventory management is a plus.
- Ability to work independently and as part of a team.
