Position Summary:
The Office Assistant is responsible for assisting in the following areas:
•Reception and customer service of guests, visitors, and vendors.
•Admission tours, walk throughs, admission packets.
•Answering multi-line phone and directing call to proper party.
•Clerical duties related to Care Center Business Office and project assignments/admissions contracts.
Position Responsibilities include:
•Greets visitors, determines their needs, and contacts proper party for whom the visitor is intended.
•Answers general questions and gives general information to those visiting or calling the Care Center.
•Conducts Care Center tours, interviews prospective clients, and notes information on an Admission Inquiry as needed in the absence or unavailability of the Business Office Manager.
•Prepares admission packets, charts, and tour packets.Complete admission packet with resident or family and assures documentation is thorough, timely and complete. Prepare admission welcome bags and discharge bags.
•Performs a variety of clerical duties, posting data from one record to another, typing reports, recording and distributing meeting minutes, sorts and distributes business office mail and messages.
•Assist with staffing calls as needed.
•Updates phone lists, rosters, and fax rosters.
•Photocopying, faxing and filing.
•Graphic design for fliers, posters, banners, cards.
•Receives and distributes payroll checks for Care Center employees.
•Completes purchase orders for all office supplies, forms, and uniforms, places orders and distributes to appropriate locations, including nursing station.
•Prepares ID bands and takes admission photographs of residents and uploads photos to Achieve Matrix software.
•Monitors Care Center environment, waters plants in lobby, assures that lobby is neat and clean (contacts Housekeeping department of any deficiencies noted.)
•Monitors ancillary storage areas for neatness, cleanliness, and fire code compliance.
•Prepares courier envelopes every morning for EAC courier.Does courier route on campus (EV-B and ALU), sorts and distributes to appropriate person.
•Maintains pet logs and veterinary visits.
•Assists with Care Center special events,
•Maintains Care Center conference room calendar and prepares conference room for meetings.
•Sets up hospitality center daily in Care Center lobby area.
•Accepts employment applications for Care Center.Maintains applicant tracking log; schedules interviews and performs employment verification as needed.
•Maintains Care Center employee mail room; takes photos of new employees and maintains birthday board for employees.
•Accepts and processes Care Center resident credit card payments.
•Completes PASARR forms on admissions as needed.
•Assists Business Office Manager with TAR process.
•Completes daily census report and postings in the absence of the Business Office Manager.
•Prepares daily assignment posting.
•Prepares monthly projection sheets for employee schedule.
•Maintenance of office equipment (copier, fax, printer) and contacts repair person as needed
•Spot checks Care Center specific areas for compliance and regulations.
Qualifications
Education:
High School or equivalent G.E.D.
Training and Experience:
Experience as a receptionist, public contact, and customer service desirable.Experience with office equipment and PC preferred.
Job Knowledge:
Knowledge of telephone etiquette, interpersonal communication, typing formats for correspondence and documents, calendaring and filing.
