About the Job
We are looking for an experienced, highly motivated, organized and efficient Office Administrator to support our Office Manager, Billing Specialists, and Project Managers.
Duties:
- Responsible for managing all office operations.
- Assists Office Manager, Billing Specialists, and Project Managers by supporting day-to-day operations relating to inquiries and replies to customers, and/or employees.
- Responsible for scheduling and tracking employee certifications, physicals and testing.
- Update and maintain FieldFlo software.
- Working with local CO Agencies, City and Counties to obtain and renew Business licenses, Contractor licenses, and Company certifications.
- Review timesheets and expense reports for completeness and accuracy
- Import payroll data into payroll system and review for completeness and accuracy prior to approval from the Office Manager
- Code and record vendor invoices for payment.
- Code credit card transactions and reconcile against receipts provided.
- Books travel/hotels for employees as required for out-of-town jobs.
- Set up new projects in our accounting system.
- Assist in creating client invoices, reimbursement application preparation, and invoice submittal into client third party invoice portals.
- Request Certificates of Insurance.
- Complete credit applications to open new accounts as PM's request.
- Process incoming payment checks and make deposits.
- Assist in recruiting for open positions, conduction new hire orientation, complete on-boarding tasks and/or off-boarding as needed.
- Manage, organize, file and maintain required paper and electronic documents.
- Maintain SDS log books and online files.
- Operate and maintain various pieces of office equipment.
- Assist employees with administrative tasks and basic IT needs.
- Administrative duties include answer phones, greeting visitors, filing, etc.
- Assist in special projects and other miscellaneous assignments, as needed.
- Other duties as assigned.
Basic Qualifications
- 2 - 4 years administrative support experience in consulting preferred.
- Basic knowledge of finance and accounting for A/P, A/R, and payroll.
- Strong people management skills.
- Detail oriented, strong organizational and problem-solving skills.
- Ability to thrive in an energetic/constantly changing/high performance environment.
- Able to maintain confidentiality at all times.
- Proactive in anticipating problems and proposing solutions.
- Strong command of the English language to articulate and write professional communications.
- Basic knowledge of Occupational Safety and Health Administration (OSHA) regulations.
- Success factors include: good interpersonal skills, flexibility, the ability to focus, willingness to learn new things, taking pride in what you do, and being a team player.
- Intermediate computer skills, including proficiency in Microsoft Office Word, Outlook, Excel, and Access.
- S. Citizen, Permanent Resident Alien status or Authorization to work in the U.S.
