About the Job
A nonprofit services organization in New York City is currently seeking an experienced Administrative professional to join their growing team on Staten Island as their new Office Administrator. In this role, the Office Administrator will be responsible for handling all general administrative functions as well as ensuring the smooth & efficient operations of the office.
About the Opportunity:
- Schedule: Monday to Friday (onsite)
- Hours: 9am to 5pm (35 hour work week max; 1 hour unpaid lunch)
- Assignment Length: 3+ months (possibility of extension)
Responsibilities:
- Maintaining records and processing reports
- Ensuring that office facilities and equipment are properly maintained and functioning optimally, coordinating repairs or replacements as necessary
- Working closely with the Director of Paralegal Services to develop standardized training, practices and protocols across the boroughs
- Providing direct supervision to Paralegal staff, ensuring that all work is performed efficiently and meets the required standards
- Monitoring arraignments, including scheduling, data entry and central files maintenance
- Assisting with recruitment process, including scheduling and interviewing
- Acting as the primary point of contact between the office and both internal shared services departments and external service providers, ensuring seamless communication and service delivery
- Serving as a liaison between the support & Legal staff as well as providing in-service training and case consultation
- Performing other duties as assigned
Qualifications:
- 2+ years of relevant work experience
- Bachelor's Degree in a relevant field
- Experience with basic Administrative functions
- Prior experience as a Paralegal or related work experience
- Computer savvy
- Microsoft Office proficient
- Exceptional phone etiquette
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
Desired Skills:
- Bachelor's Degree in Business Administration or equivalent experience
- Previous experience in a Supervisory role
- Working knowledge of LawManager
- Proficiency with SharePoint
- Experience with ADP Workforce Manager
