The Office Administrator is responsible for the organization and coordination of office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. The Office Administrator is the first contact for visitors and an employee resource.
Primary Responsibilities
- Oversee all daily office operations, manage administrative tasks and support overall office functions. Ensuring Philly office has adequate supplies and a professional and presentable appearance.
- Manage Philly leadership calendars, appointments, travel arrangements, and expenses
- Prepare and organize meetings, including agenda creation and documentation distribution for events hosted in the Philly office:
- Vendor days
- QBRs
- External hosted events in office (i.e. Partner QBRs)
- Act as a liaison between leadership and internal/external stakeholders, demonstrating professionalism and discretion
- Main point of contact for IT Support
- Main point of contact for office related maintenance/support i.e. Comcast/package deliveries/document printing and filing/
- Collaborate with other AHEAD administrative staff to ensure efficient office operations
- Coordinate and organize special events or projects assigned, including assisting and supporting the Marketing team with local events:
- i.e. bi-annual or quarterly team building events (Phillies games, Fall Fest, etc.)
- Bring Your Child to Work Day
- Ordering catering for office lunches/meetings/presentations as required: delivery or local pickup
- Managing visitors to Philly office includes ensuring access to our building and suite as well as preparing and booking conference rooms
- Handle confidential information with integrity and sensitivity
Qualifications
- Proven experience as an Office Administrator or similar role
- Professional, business-oriented attitude
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Concur experience a plus
- Ability to handle sensitive information with confidentiality
- Demonstrate exceptional teamwork and customer service
- Detail oriented with strong problem-solving skills
- This is a hybrid role: expected to be in the office, a minimum of 3 days/week and whenever onsite events occur. Must be local to the Philly office with ability to be in the office with short notice.
