Job Summary: The Office Administrator is responsible for ensuring smooth day-to-day office operations while providing essential human resources support. This role handles administrative tasks such as managing office supplies, coordinating schedules, and maintaining records. Additionally, the Office Administrator assists with HR functions, including onboarding new hires, conducting orientation sessions, and addressing basic employee inquiries regarding benefits and policies. The ideal candidate is organized, detail-oriented, and thrives in a dynamic work environment.
Duties/Responsibilities:
Office Administration
- Oversees office operations, including ordering supplies, managing vendor relationships, and maintaining a professional workspace.
- Coordinates office maintenance, ensuring facilities are well-organized and functioning properly.
- Schedules meetings, manages calendars, and supports leadership with administrative tasks as needed.
- Tracks and files records, correspondence, and invoices, maintaining compliance with company policies.
- Organizes office events and team-building activities to promote a positive workplace culture.
Human Resources Support
- Facilitates new hire onboarding, preparing materials, and ensuring completion of required documentation.
- Conducts orientation sessions to familiarize new employees with company policies, culture, and procedures.
- Serves as the first point of contact for employee questions related to benefits, payroll schedules, and HR policies, escalating complex issues to HR specialists as necessary.
- Assists with maintaining accurate employee records, including updates to contact information and benefits enrollments.
- Coordinates the planning and execution of holiday and employee relations events.
Required Skills/Abilities:
- Exceptional organizational and multitasking abilities.
- Strong interpersonal and communication skills, with a customer-service orientation.
- Basic understanding of HR functions, including onboarding and benefits.
- Proficiency in Microsoft Office Suite and familiarity with HRIS software is a plus.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
Education and Experience:
- Bachelor's Degree in Business Administration, Human Resources, or a related field preferred; equivalent experience may be considered.
- 2-3 years of experience in office administration or a similar role, with some exposure to HR functions.
- Experience in a fast-paced or rapidly growing organization is highly desirable.
Physical Requirements:
- Ability to sit or stand for extended periods and perform general office tasks.
- Occasionally lift up to 20 lbs.
