Position Summary:
This role is dual in nature and will primarily complete administrative tasks with secondary requirements to maintain the facility and operational needs of the office. The ideal candidate for this role is well organized, meticulous, reliable, mature, trustworthy, and can complete multiple tasks and projects at a time. Duties associated with maintaining the facility and day-to-day operations include ordering supplies and assist in coordinating maintenance/contractor work orders.
Reports to: This position reports to the Business Development Director.
Travel: No travel required.
Remote Eligibility: Not eligible for remote/telework.
Work Schedule: Monday-Friday, 8am-5pm.
Qualifications:
- Bachelor's degree desirable; however, applicants may demonstrate requisite skills through experience.
- Displays solid verbal, written, organizational, and communication skills.
- Must have computer knowledge and the ability to organize data; proficiency in Excel is required.
- Ability to work with persons in a manner that shows sensitivity to cultural diversity, sexual orientation, and racial/ethnic differences.
- If in recovery, must have maintained a minimum continuous sobriety of one year and work an active recovery program.
Essential Functions:
- Provides receptionist services such as collecting copays, greeting clients, and answers incoming calls.
- Knowledgeable about programs and services offered by Optimal Living.
- Knowledgeable about health insurance, Medicaid, Medicare.
- Protects client confidentiality.
- Compiles and completes data for administrative and public reports, bulletins, questionnaires, and other documents.
- Compiles minor reports and submits recommendations to the supervisor regarding the given subject.
- Serves as a representative of their supervisor in contacts with other employees, officials or the general public, making administrative decisions regarding procedure or policy within prescribed limitations, when necessary.
- Relieves the management of minor administrative details.
- Designs forms and reports, maintains necessary records and files, and develops system modifications, as necessary. Also computes, tabulates, compares, records, indexes, and performs other complex office management tasks.
- May prepare or oversee the preparation, calculation, typing, proofreading, and recording of data, minutes, confidential correspondence, budget, technical/narrative reports, and related materials.
- May serve as agency purchasing coordinator; requisitions food, supplies, and equipment.
- Coordinates maintenance/contractor efforts.
- Using an electronic medical records system and Square.
- Maintains office equipment (fax, copier, etc.)
Physical Demands:
This sedentary, office role may require exertion up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Involves sitting most of the time but may involve walking or standing for brief periods of time. Sedentary work may involve repetitive motion, such as substantial movements of the hands, fingers, and wrists.
