Job Overview:
We are seeking an organized, detail-oriented and friendly Office Administrator who will also serve as the receptionist for our office. The ideal candidate will be a dynamic multitasker who can efficiently manage office operations while providing a welcoming first impression for visitors and employees alike. As the face of our office, this role requires strong organizational, communication, and administrative skills to support the smooth operation of the office environment.
Key Responsibilities:
Receptionist Duties:
• Greet and welcome visitors in a professional and friendly manner.
• Answer and direct incoming calls to the appropriate staff member.
• Manage the front desk, including signing in guests and ensuring proper visitor protocols are followed.
• Handle all incoming and outgoing mail, deliveries, and couriers.
• Maintain a clean and organized reception area.
Office Administration Duties:
• Support day-to-day office operations, including scheduling meetings and managing calendars.
• Assist with ordering office supplies and maintaining product inventory room.
• Prepare and organize documents, presentations, and reports.
• May handle basic Department projects on an as-needed basis.
• Assist with travel arrangements, if necessary, for staff or leadership.
• Manage office equipment, ensuring they are in good working order. Schedule service as needed.
• Assist in preparing meeting rooms and other office spaces as required.
Qualifications:
• Proven experience as a receptionist or office administrator, preferably in a corporate setting.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Professional phone etiquette and interpersonal skills.
• Ability to work independently and as part of a team.
• A positive attitude with a customer service-oriented mindset.
Additional Skills (preferred but not required):
• Familiarity with office management software (Freshservice and G-Suite).
• Basic knowledge of bookkeeping or accounting.
• Experience handling confidential information with discretion.
