RESPONSIBILITIES OF OFFICE ADMINISTRATOR

• Perform daily data entry tasks and word processing
• Answer and dispatch phone calls
• Assist with daily project scheduling of materials testing technicians
• Track and transfer daily field reports and paperwork to designated Project Managers
• Assist with individual project/job set up
• Data entry into accounting system (Unanet AE) for time, expenses, vendor, subcontractor invoices, etc.
• Generate invoice drafts, make corrections, issue finals, and distribute
• Monitor work in progress (WIP)
• Vendor and subcontractor setup, request W9s and COIs when applicable
• Order and maintain supplies

QUALIFICATIONS

• Community college or University graduate preferred
• Ability to work with little or no direction independently
• Communicates clearly and professionally, both orally and written
• Capacity for working effectively and efficiently on multiple projects
• Fluent in Microsoft Office Suite
• Attention to detail and problem-solving skills
• Commitment to deadlines, budgets and teamwork with a positive attitude and excellent work ethic
• Must pass a pre-employment background and drug test
