Office Administrator Needed for Growing Company!
***Must have worked with skilled trades and had exposure to dispatching technicians in addition to the admin skills.***
Location: Onsite, M-F 8am-5pm
Pay: $19-21/hour
Job Overview:
We are looking for a highly organized Office Administrator to provide essential administrative support for our client's team. This role involves managing warranty claims, processing invoices, customer service, helping with dispatch, and maintaining accurate data records. The ideal candidate will be detail-oriented, capable of multitasking, and able to collaborate effectively with the team.
Primary Responsibilities:
- Manage work orders and update account information
- Oversee invoicing and warranty reporting
- Reconcile warranties and submit claims on a daily basis
- Record technician hours and mileage, and compile Service Productivity Reports
- Coordinate with the Service Sales Consultant to ensure preventive maintenance agreements are entered into the system
- Maintain electronic records, manage files, and assist with service quotes when needed
- Help with dispatch of technicians
- Perform administrative duties, including responding to service inquiries, filing, and managing records
- Assist with additional tasks as required
Key Skills & Competencies:
- Proficient in Microsoft Office programs (Excel, Word, Outlook)
- Strong organizational and time-management skills, with attention to detail
- Excellent written and verbal communication abilities
- Ability to work independently while safeguarding confidential information
- Customer service experience
- Capable of extended computer work and light lifting (up to 10 lbs)
Qualifications:
- Associates degree or equivalent education/experience in a related field (2-3 years preferred)
