Position Summary
The Office Administrator will play a vital role in supporting daily operations, coordinating administrative tasks, and assisting various departments as we grow. Responsibilities
Administrative Support:
- Manage day-to-day administrative tasks, including addressing incoming phone, emails, mail distribution, and scheduling.
- Maintain office and diverse leadership team support inclusive of ordering supplies, managing inventory, and keeping common areas neat.
- Prepare documents, reports, and presentations for internal meetings as needed
Customer and Vendor Relations:
- Serve as a point of contact for customer inquiries, providing an excellent customer experience.
- Coordinate with suppliers and vendors, including placing orders, tracking deliveries, and handling billing issues.
- Maintain updated contact lists and ensure prompt communication with internal and external partners.
Scheduling & Coordination:
- Schedule and coordinate meetings, including team meetings, client calls, and supplier conversations.
- Assist with travel arrangements and logistics for leadership team members, as needed.
- Organize company events or team activities, ensuring all logistics and details are covered.
Financial & Record Keeping:
- Assist in processing invoices, tracking expenses, and maintaining accurate records for our CFO & broader leadership team.
- Collaborate with the accounting team to ensure timely payments and budget tracking.
- Keep track of employee questions, issues, and needs acting as a conduit for requests supporting their daily operations.
Data Maintenance & People Support:
- Maintain employee records, onboarding paperwork, and assist with orientation for new hires, as needed by the HR team.
- Organize team communications, distribute company updates, and assist in fostering a positive work environment.
- Act as greeter and POC for candidates arriving for position interviews or introductions.
Office Systems & Process Improvement:
- Maintain office systems and suggest improvements for workflow efficiency.
- Oversee office equipment and technology, coordinating repairs or upgrades as needed.
- Assist in implementing office policies and procedures to streamline operations.
Qualifications
- Experience: 2+ years in an administrative, office management, or similar role, preferably in a start-up or fast-paced environment. Food or beverage experience is a plus.
- Education: High school diploma required; Associate's or Bachelor's degree preferred.
- Skills: Excellent organizational and multitasking abilities, with high attention to detail.
- Communication: Strong written and verbal communication skills; customer-service oriented.
- Technology: Proficiency in MS Office Suite (Word, Excel, Outlook); experience with office management or scheduling software is a plus.
- Adaptability: Able to manage multiple priorities, solve problems independently, and adapt to changing needs in a fast-paced environment.
