Administrative Assistant – Full Time (40 hours weekly)
Location: Bay Shore, NY (on-site only)
Salary: $55,000-$60,000
Hours: M-F, 9-5:30

We are in search of an Administrative Assistant to support us in our fast paced growing company.
The Role:
The Administrative Assistant will be responsible for supporting a variety of functions in our front office. As our business grows and we introduce new technologies, the Admin maintains compliance while completing critical functions in our day to day operations. The responsibilities will include but are not limited to:
- General administrative support
- Filing both electronic and paper documents, scanning
- Address all incoming mail and email for the company
- Maintain detailed records, keeping organized and up to date
- Liaise with customers – respond to requests for information, answer phone calls, emails, and walk-in visitors
- Respond to issues – stay ready to respond to a variety of unforeseen issues that may arise
- Order and maintain stock of office supplies
- Other office roles as needed
What you’ll bring to the role:
- Expertise in MS Office, proficiency in Excel, Word, and Outlook
- At least 4-5 years of back office support experience, including scanning, filing and customer interaction, administrative assistant or executive assistant experience
- Knowledge of job costing, and expenses is a plus
- Flexibility - to change direction of work quickly if needed
- Strong verbal communication skills - for clear interactions with our clients and suppliers
- Excellent writing skills – for creation of memos, emails, and other client documents
- Attention to detail – to ensure compliance and happy clients
- Efficiency and good time management skills
- Self-driven work ethic, ability to work independently
- Professional demeanor, especially in dealing with clients on the phone and in email
- Multitasking proficiency – to balance multiple deadlines, balance priorities and triage
- Experience in the construction industry is a plus
- SmartSheets knowledge is a plus
- Ability to lift 40 lbs
