Job Summary:
Under the supervision of the Director of Nursing, the Nurse Scheduling Administrator will provide operational support to the nursing department. Key responsibilities are to meet and comply with Homecare policies and procedures, federal and state rules, and regulations, and to adhere to confidentiality guidelines as set forth in the Health Insurance Portability and Accountability Act (HIPAA) of 1996.
Essential Duties and Responsibilities:
As needed, assist with schedules for Field Supervisor visits for new client cases, quarterly/annual visits and non-clinical incident follow-up.
Assist nursing leadership with new hire training for nurses, including orientation, system training, IT setup, review nursing procedures and responsibilities, prepare training materials, create schedules, and coordinate nurse field training with shadowing opportunities.
Assign new hire nurses their staff/client case load based on territory based on need and available resources.
Manage compliance by obtaining, reviewing, and uploading nursing documents, care plans, assessments, homemaker service plans, and other necessary forms to the scheduling system.
Ensure proper distribution of care plans to nurses and scheduling team, communicate to nurses any changes that need to be made.
Schedule recurring 90 days nurse visits.
Oversee monthly billing discrepancies for nursing visits, ensure all Initial/Annual care plans are sent to appropriate ASAPs for billing authorization and resolve any coding discrepancies.
Uploads all Supervisions, Annual Evaluation, Skills, TB screening are uploaded in appropriate record.
Attend nursing meetings as needed.
Responsible for auditing nurse files for required documentation and requirements.
Ensure required documentation is received, stored, and preserved in various systems.
Support compliance department as needed
Other duties as assigned.
Qualifications:
Minimum of two years in a homecare or healthcare setting in a scheduling capacity.
Management experience preferred.
Strong verbal and written communication skills, including the ability to communicate effectively with people from diverse backgrounds and language skills.
Knowledge of Federal and State Home Health agency regulations/ conditions of participation and compliance standards and regulations
Is dependable, organized, flexible, cooperative in fulfilling role obligations, and self-directed with the ability to work with little supervision.
Strong technical skills: Microsoft Office, Teams
Physical Demands:
Must remain in stationary position for long periods of time at desk or computer.
Requires occasional standing, sitting, walking; using hands to finger, handle, or feel objects, tools or controls; reaching with hands and arms; climbing stairs; hearing; talking

Office environment

Continuing Education Requirements: Agency personnel are expected to participate in appropriate continuing education as may be requested and/or required by their immediate Member of Management. In addition, agency personnel are expected to accept personal responsibility for other educational activities to enhance job-related skills and abilities. Must attend mandatory educational programs.
