The Night Auditor is responsible for the overnight operations of the Hotel, verifying the accuracy of guest accounts, balancing charges and revenues, as well as assisting with all aspects of guest services. The Night Auditor will audit and verify all revenue and settlements daily and restart or reset systems as part of the end of day processes. At the same time, this position will continue the arrival experience by ensuring clear communication with guests, obtaining all necessary information and providing the guest a room that meets their expectations. Night Auditors will also process guest departures providing gracious service while closing out accounts and again ensuring guest satisfaction. Special emphasis is placed on accommodating guest preferences, flexibility with work assignments, efficiency, quality, and social demeanor that contributes to a hospitable environment.
SPECIFIC RESPONSIBILITIES
- Verify that revenue from all sources is accurately balanced, solve errors and follow up on any discrepancies.
- Ensure all revenue documentation is in compliance with established policies and procedures.
- Post all banquet checks, room charges, and vouchers sent to night audit that have not already been posted.
- Reconcile daily receipts from all profit centers, including but not limited to: hotel operations, banquets, and restaurants.
- Perform end of day procedures.
- Produce daily reports for departments.
- Greet guests warmly and provide guests with appropriate room assignments, room keys, and directions to the rooms.
- Verify payment for stay including incidental costs by obtaining credit card information and/or cash deposit.
- Be knowledgeable of the hours of operation of all hotel services and aggressively sell such services.
- Resolve guest issues and ensure complete guest satisfaction.
- Document all guest requests, complaints and / or issues.
- Facilitate guest departures providing accurate statements and ensuring guest satisfaction and collecting all payments due.
- Learn and adhere to all fire and emergency procedures (including procedures for handling of the fire panel and guest or employee incidents) to ensure guest safety.
- Be familiar with all Person In Charge (PIC) procedures and take on the role of PIC.
- Conduct routine safety tours of the property (inside/outside). Write and submit maintenance work orders as needed.
- Monitor and maintain cleanliness, sanitation, and organization of work areas and lobby.
- Assist in keeping entranceways, stairs, and sidewalks free from ice or slippery conditions by salting during the winter months.
- Maintain on-going communication and collaboration with all departments with the aim of achieving high levels of cooperation and service excellence.
- Comply with all department, hotel, and company policies and procedures.
- Assist the Lead Night Auditor with the training of new staff.
- Anticipate and understand guest service needs. Handle any situations that arise as needed throughout the shift. (i.e. Engineering, Housekeeping requests/needs) Document and pass along information to Department heads as to anything that wasn't able to be resolved.
- Maintain confidentiality of guest information and hotel data
Cash handling and/or reconciliation experience preferred. Accounting, Night Audit or any accounting classwork preferred. Opera, Excel and Word experience preferred.
