Position: Microsoft 365 Lead Engineer/ Organizational Change Management (OCM) Lead
Duration: 12 Months
Location: Remote
Seeking for Organizational Change Management (OCM) lead for rolling out Microsoft 365 (M365) firmwide. It is a strategic move to ensure successful adoption and integration of the new technology. The OCM lead’s role and responsibilities would encompass various aspects of managing organizational change.
General:
· Lead and implement change initiatives related to business processes and technologies.
· Drive adoption and proficiency of changes within the organization in compliance with change management methodologies.
· Oversee team execution in accordance with project plans, tools, and methods, and support resource planning and acquisition.
· Lead and facilitate meetings to ensure an understanding of the current company culture and jointly develop a change adoption plan.
· Facilitate change management activities with cross-functional team members and stakeholders to understand and ensure adoption of the enterprise business transformation.
Core Responsibilities:
Use Case and Roadmap Development:
· Development of M365 Use cases and roadmap in alignment with rollout plans.
· Work with key stakeholders and develop strategies to engage and involve them throughout the process and gain alignment.
Training & Development:
· Work with training organization to support them in Design and implement training programs for different user groups within the organization, including billable, admin, and IT staff.
· Support training org in creation of training materials, resources, and documentation to support learning and skill development related to M365 services and features.
· Support training org in conducting training sessions, workshops, and webinars etc. to educate employees about M365 and its benefits.
Communication Planning and Execution:
· Work with communication org to develop a communication plan to keep stakeholders informed about the M365 rollout, including its purpose, timeline, and expected impact.
· Craft engaging and informative communications, such as emails, newsletters, and videos, to promote awareness and generate enthusiasm for the changes.
· Work with CSAT team to Establish feedback mechanisms to gather input from employees and address any concerns or questions they may have.
Adoption Success and Support:
· Develop short and long-term goals, key performance indicators (“KPIs”), adoption metrics, processes, and objectives and develop and execute against rollout plan.
· Propose adoption success and KPI dashboards, monitor and track adoption rates and usage patterns of M365 tools across the organization.
· Identify barriers to adoption and develop strategies to overcome them, such as providing additional training or addressing usability issues.
· Work closely with departmental champions or advocates to drive adoption and encourage best practices in using M365 technologies.
Feedback Collection and Analysis:
· Gather feedback from users at various stages of the rollout process to assess satisfaction levels, identify areas for improvement, and measure the effectiveness of change management efforts.
· Analyze feedback data to identify trends, patterns, and insights that can inform ongoing decision-making and adjustments to the change management strategy.
Key Skills:
In addition to change mgmt., communication, training, & stakeholder engagement competencies, following skills are essential:
Technical Proficiency: Solid understanding of the Microsoft 365 suite, including its various applications such as Exchange online, Microsoft Teams, SharePoint, OneDrive, and Office apps. While not necessarily a technical expert, the OCM professional should have enough technical knowledge to understand the capabilities and functionalities of M365 and communicate them effectively to end-users.
Analytical Skills: Ability to collect, analyze, and interpret data related to M365 adoption, usage, and feedback. This includes identifying trends, patterns, and insights that can inform decision-making and continuous improvement efforts.
Project Management Skills: Strong project management skills to support OCM & M365 implementation PMs, plans, coordinate, and execute change management activities within the context of larger M365 rollout projects.
Adaptability and Flexibility: The ability to adapt to changing priorities, environments, and stakeholder needs in a dynamic and fast-paced organization. This includes being flexible in approach and willing to adjust strategies based on feedback and evolving requirements.
