Summary:
Vighter LLC is seeking a detail-oriented individual with strong organizational skills and a thorough understanding of security procedures and protocols. The NPD Office Assistant will work closely with the National Program Director and other team members to facilitate communication, coordinate activities, and manage administrative tasks.
The National Program Director Office Assistant plays a critical role in providing administrative and operational support to ensure the efficient functioning of the program. This position requires a proactive and versatile individual with strong organizational skills, excellent communication abilities, and the ability to work effectively in a fast-paced environment. The NPD Office Assistant will work closely with the National Program Director and other team members to facilitate communication, coordinate activities, and manage administrative tasks.
Principle Accountabilities:
- Provide comprehensive administrative support to the National Program Director, including managing calendars, scheduling appointments and coordinating meetings.
- Prepare and organize documents, reports, presentations, and other materials for meetings, presentations, and program activities.
- Coordinate travel arrangements, including booking flights, hotels, rental cars, and other accommodations, and preparing travel itineraries.
- Assist in the preparation and dissemination of communications, correspondence, and announcements on behalf of the National Program Director.
- Maintain organized and up-to-date filing systems, both electronic and physical, ensuring easy access to important documents and records.
- Track and manage expenses, process invoices, and reconcile accounts for the program budget, ensuring accuracy and compliance with financial policies and procedures.
- Serve as a liaison between the NProgram Director, internal staff and external clients, handling inquiries, requests, and communications in a professional and timely manner.
- Conduct research and gather information as needed to support program activities, initiatives, and projects.
- Provide general administrative support to the program team, including answering phones, handling inquiries, and performing other duties as assigned.
Knowledge and Skills:
- Must have exceptional customer service skills.
- Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
- Moderate proficiency in, common Microsoft Office Suite programs, to include Microsoft Word, Excel, Outlook, and SharePoint.
- Functional proficiency and ability to document patient-centered health care in the required electronic health record or electronic medical record, in the required format, in a timely manner, and in compliance with contract policy and guidance.
- A deep sense of purpose and dedication to the United States and our U.S. Military Veterans, their Families, and other patients as assigned.
- Occasional schedule flexibility with a desired end state of 100% staffing and 100% service to the patients that we provide care to.

Education:
- Bachelor's degree in Business Administration, Communications, or related field preferred.
Qualifications:
- Minimum of 3 years of experience as an executive assistant or administrative assistant, supporting senior-level executives or program directors.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and stakeholders.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook and Google.
- Experience with travel coordination, expense management, and budget reconciliation.
- Ability to handle sensitive and confidential information with discretion and confidentiality.
- Detail-oriented and proactive, with a commitment to producing high-quality work.
Duty Hours / On-call Requirements:
- Generally speaking, locations supporting the CBP-ICE mission set are open and active 24/7/365, to include days, nights, weekends and all holidays.

Travel:
- As required to satisfy the contractual obligations. Generally, travel is limited to commute from residence to the worksite. Commute is non-compensatory. All official travel is government-funded.
Supervisory Controls:
- In this position, the employee will serve as a contractor to the federal government and does not have any federal authority or rights.

Physical Requirements:
- Must be able to sit for more than 8 hours per day.
- Must be willing to work overtime if necessary.
- Must be able, with advance notice to float to surgical sites within 15 miles.
- Must be able to use an elevator or walk up and down stairs.
- Must be able to lift up to 40 pounds and carry up to 10 feet.
- Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
- Must be able to read and interpret handwritten and typewritten print.
- Must be able to communicate by voice and detect sound by ear.
- Must be able to perform duties in an indoor or outdoor environment
- Must be able to pass a criminal background investigation
- Must undergo Urine Drug Screening (UDS).
- Positions require applicants to be US Citizens, 21 years or older.
- Must complete criminal background check, and Child Abuse and Neglect (CAN) background check.
