Overview:Under the supervision of Dir, Facilities and Special Events, the Mgr, Facilities will coordinate office activities and support services, to keep the office running efficiently. This individual will also supervise support services for national support front desk reception, mail room and day porter service. The Mgr, Facilities will also oversee billing, and accounts for vendors, ensuring accuracy and that company procedures are followed.
Responsibilities
- Manage and oversee the Front Desk Receptionists, Mail Clerk, and Day Porters.
- Provide any administrative support issues and liaison with the appropriate department head and other necessary people to resolve.
- Coordinate all meeting/employee event details for the Support Center which includes contract negotiation; budget development; expense tracking; staffing assignments; food and beverage coordination; ancillary event management; registration services; team communication; event logistics; and post-event analysis.
- Negotiate event contracts to comply with strategic sourcing policies in the most cost-effective manner possible. (Contracts may be located in other states or even multi-state vendors).
- Monitor service contract relationships including service performance, quality, and take appropriate action to correct unsatisfactory results.
- Coordinate with Maintenance Department on all maintenance requests and review weekly any current, outstanding ticket items/invoices, and routine maintenance. May be required to resolve some routine maintenance.
- Maintain proper accounting and adherence to approved budget for all expenses, in accordance with Company standards.
- Analyze current contracts and identify cost saving opportunities with competitor analysis and negotiation of rates and services.
- Other duties as assigned by Management.
Required
- Bachelor's Degree in Business and/or equivalent combination of education and experience, and 6+ years' experience in managing subordinates and teams. In lieu of degree, 8+ years of relevant work experience.
Preferred
- 3+ years of experience of Operations experience.
- Experience managing multiple facility locations is a plus.
- Training experience and/or applicable certifications.

Salary Information:$68,607.00-$115,427.00 / Annually
