Specific duties include but are not limited to
- Monitor and manage the sales order system to ensure the accurate receipt and booking of sales orders in accordance with division guidelines.
- Track sales shipments, deliveries, billing, and backlog activities while maintaining up-to-date records in the system.
- Act as the primary point of contact for inquiries regarding the status of orders, proactively assisting in resolving customer order conflicts or difficulties.
- Send manual invoices for payments due prior to booking or shipment to facilitate a seamless transaction process.
- Efficiently enter and process return material authorizations (RMA) following established guidelines and processes.
- Collaborate with the service team to provide urgently needed installation materials, ensuring smooth completion of installations.
- For major accounts, deliver regular summarized status reports to customers, which may involve dedicated conference calls.
- Handle international shipments in collaboration with the logistics team to ensure the timely provision of necessary documents for accurate commercial invoices and packing lists.
- Provide accurate and precise order status updates to senior management, enabling informed decision-making.
- Identify and report shortages to the planning and purchasing departments on a case-by-case basis.
Qualifications
- Bachelor's degree or equivalent experience in a related field.
- Proven experience in sales order processing and coordination.
- Strong organizational and communication skills.
- Attention to detail and ability to multitask in a fast-paced environment.
- Proficiency in using sales order systems and relevant software applications.
- Excellent problem-solving and conflict resolution abilities.
- Knowledge of international shipping and logistics is a plus.
