We are looking for someone just like you to join our team as a Meetings & Events Project Coordinator. This fully remote role is based in New York and offers an exciting opportunity to work with diverse participant groups and manage detailed assignments in the successful planning and implementation of various types of meetings and events for our clients.
About the Role:
As a Meetings & Events Project Coordinator, you will be involved in a wide range of events, including National Meetings, Sales Meetings, Training Meetings, Launches, Conferences, and Incentive Trips. Your primary responsibilities will include:
Event Website and Registration Management:
Facilitate the development, strategy, and content for event websites and Cvent registration.
Coordinate the online registration process, including tracking and reporting participant responses.
Serve as the primary contact for participant inquiries and manage high email/call volumes efficiently.
Logistics Coordination:
Coordinate and manage event logistic reports such as rooming lists, A/D manifests, activity/tour reconciliation, and meeting evaluations.
Handle data management and reconciliation of RSVP, hotel, and flight arrangements.
Progress Tracking and Reporting:
Manage reports to track event progress, including rooming lists, A/D manifests, seating charts, function space grids, and meeting evaluations.
Coordinate all meeting materials in line with program timelines, including invitations, confirmations, (e)mailings, pre-trip information, name badges, signage, surveys, and post-program reporting.
Work with selected vendors on gift/amenity selections and other program-related materials.
Client Interface and Support:
Assist Project Managers in developing mobile app content/materials.
Provide effective and professional client interface and customer service in responding to client questions and requests.
Qualifications:
To be successful in this role, you should have:
Proven experience with Cvent.
Advanced skills in data/email management, registration, and reporting.
Advanced knowledge of MS Office (Excel, PowerPoint, Word).
The ability to thrive in a fast-paced work environment.
Strong attention to detail with proven multi-tasking skills and follow-through.
A knack for technology and/or software solutions.
Additional Requirements:
3-5 years of previous events/meetings experience.
Excellent interpersonal skills with the ability to effectively communicate and relate to all levels within and outside the organization.
A team-player mentality.
This is a fully remote position.
Ability to travel by airplane, boat, rail, and/or car.
Compensation:
Salary range: $65,000.00 to $75,000.00 annually.
