About the Job
We are seeking an ambitious, dynamic, and entrepreneurial Meetings & Events Project Coordinator to join our remote team. This position requires 3-5 years of previous events/meetings experience with proven effectiveness in data management, working with diverse participant groups, and successfully planning and executing meetings and events for clients.
As a Project Coordinator, you will be involved in coordinating a variety of meetings and events, including National Meetings, Sales Meetings, Training Meetings, Launches, Conferences, and Incentive Trips. The ability to multitask, work on multiple programs, and manage deadlines is essential.
Key Responsibilities:
- Facilitate the development, strategy, and content for event websites and registration platforms
- Coordinate online registration processes, including tracking and reporting participant information
- Manage event logistics reports such as rooming lists, transportation manifests, activity reconciliation, seating charts, meeting evaluations, etc.
- Serve as the primary contact for participant inquiries, adeptly handling high email/call volumes
- Coordinate all meeting materials preparation per program timelines (invitations, confirmations, mailings, pre-event information, name badges, signage, surveys, post-event reporting, etc.)
- Assist in exploring suitable venues/destinations for planned meetings and events
- Collaborate with Project Managers to develop mobile app content/materials
- Work with vendors to select gifts/amenities and other program-related materials
- Provide professional client interfacing and exceptional customer service in responding to inquiries and requests

- Ability to prioritize projects with a sense of urgency, meet deadlines, and manage competing priorities
- Excellent interpersonal skills to effectively communicate with individuals at all levels, internally and externally
- Collaborative team player
- Meticulous attention to detail with proven multitasking and follow-through abilities
- Proficiency with technology and software solutions is preferred
Qualifications:
- Minimum of 3-5 years of previous events/meetings experience
- Advanced proficiency in Microsoft Office applications (Excel, Word, PowerPoint, etc.)
- Proven experience with Cvent for data/email management, registration, editing, and reporting
- Prior operations experience in the hospitality/travel industry is a plus
- Ability to travel by airplane, boat, rail, and/or car
- This is a fully remote position
Reports Directly to the Project Support Manager, Meetings & Events
Employment Type: Full-Time
Salary: $ 65,000.00 75,000.00 Per Year
