Meeting and Events Intern
SUMMARY
This position was created to provide hands-on experience with the various facets of association event planning, including small meetings as well as a large-scale convention & trade show. The candidate will spend time with NCBA staff learning about: association management operations, registration, housing, catering, audio-visual, sponsorships sales, customer service, supplier relations, exhibits/trade show, event marketing, entertainment, and overall event production. Internships are offered in the fall, spring, and summer semesters. This internship will be from Monday, May 19, 2025 – Friday, August 15, 2025 in Centennial, Colorado.
ESSENTIAL FUNCTIONS
An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.
Provides customer assistance to registrants via e-mail and telephone and completes data entry of registration forms into registration system
- Assists with monitoring hotel block pick-ups
- Assists with reserved seating charts and VIP experiences
- Manages inventory registration supplies and places orders with vendors to ensure sufficient quantities for meetings
- Uses the Function Sheet System to enter details for events taking place during small and large meetings that will be included in the specs book sent to the hotels and convention center (date, time, room set-up, catering & audio-visual needs, etc.)
- Assists with marketing the convention, including convention website updates and email marketing campaigns
- Act as support in additional small meetings and events in the office
- Additional duties as assigned
MINIMUM QUALIFICATIONS
- EDUCATION - Undergraduate student with background in hospitality, tourism, or event management program or an agriculture, animal science, agriculture communications, or agricultural marketing program or a comparable degree program with an interest in event production.
- EXPERIENCE – Must have intermediate knowledge of computer programs including Microsoft Word, Excel, and Outlook and the internet.
- SKILLS- Must be innovative with event coordination skills, pleasant, outgoing, and at ease meeting new people. Strong customer service skills required. Must be organized and detail oriented. Must possess excellent communication skills (oral, written) and interpersonal skills. Proficiency with Microsoft office software (Word, Excel, PowerPoint, Outlook).
