STATEMENT OF PURPOSE
Performs and provides secretarial, technical, and administrative support to the Medical Staff Services Department, committee structure and coordination of Medical Staff. Assists in coordinating updates on Medical Staff Bylaws, policies, and Rules and Regulations, maintaining current knowledge of Federal and State Regulations. Responsible for coordinating as well as providing secretarial support for the Medical Staff and Medical Associates/Assistants initial credentialling and privilege delineation activities, including requests for temporary privileges, preparation of National Practitioners Data Bank information, biennial reappointments and preparation of peer review for provisional Medical Staff and Medical Associates/Assistants. Acts as a liaison between the Medical Staff and hospital administration.
JOB DUTIES/RESPONSIBILITIES
- Assist in the daily operational needs of the hospitalist program. This includes managing schedules, coordinating patient admissions and discharges, and facilitating patient transfers.
- Serve as the primary point of contact for hospitalists, nursing staff, ancillary departments, and external providers. Ensure effective communication between all parties to facilitate patient care and resolve issues promptly.
- Manage and maintain the hospitalist schedule, coordinating shifts, vacations, and call schedules to ensure adequate coverage at all times.
- Collect, analyze, and report data related to the hospitalist program's performance, including patient volume, length of stay, and patient satisfaction. Use data to identify areas for improvement.
- Perform administrative duties such as preparing correspondence, managing records, ordering supplies, and supporting hospitalists with billing and documentation requirements. Assist with patient care coordination, ensuring timely consultations, diagnostics, and treatments. Facilitate communication between patients, families, and the hospitalist team regarding care plans and updates.
- Participate in quality improvement initiatives, working with the hospitalist team to implement best practices and improve patient care outcomes.
- Assist in the orientation and training of new hospitalist staff and other departmental personnel as needed.
EDUCATION/EXPERIENCE
- Associate's degree in healthcare or related field.
- Must have two years of executive secretarial experience.
- Previous experience in a healthcare setting, with administrative or coordination experience highly desirable.
- Strong organizational and time management skills, with the ability to prioritize tasks efficiently.
- Excellent verbal and written communication skills.
- Proficiency in medical software and Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Demonstrated problem-solving skills and the ability to manage complex situations.
- Ability to work in a fast-paced clinical/office environment.
- Ability to handle stressful situations effectively.
- Experience with Physician and Nurse Practitioner shift scheduling (at least 2 years).
- Must be familiar with medical terminology.
