Medical Receptionist Job Description
The function of the Medical Receptionist is to provide coverage for Philadelphia FIGHT Pediatrics and Y-HEP Health Center. The ideal candidate is professional, innovative, emotionally intelligent, intellectually curious, hard-working, and reliable, computer savvy and open to new ideas. This person will take a trauma-informed, patient-centered approach to dealing with families.
Qualifications: The Medical Receptionist will have worked in a medical setting or have 5- 7 years' experience in an FQHC front desk setting. Has world class customer service skills and can show proficiency in Microsoft Office with a focus on excel skills. Excellent written and verbal communication skills. Experience and proficiency with Electronic Medical Record Systems. The Medical Receptionist will also have strong analytical, time management, and multi-tasking skills. Certification Within 30 days of hire, complete training in Blood borne pathogens, Post exposure prophylaxis, CLIA, and HIPAA regulations.
Responsibilities include:
- Provide coverage for Medical Receptionists, Call Center Representative, Medical Records and Referrals team.
- Float as needed between Philadelphia FIGHT Pediatrics, Y-HEP and Norris Square.
- Ensures accurate patient insurance eligibility checks are performed on a consistent basis, and ensures that procedures are followed in order to request and collect all appropriate fees at check-in.
- Assist Practice Manager in Quality Improvement Reports.
- Send emails when supplies are needed and ensure timely completion of scanning.
- Perform quality reviews of scheduled appointments to ensure compliance with procedures/policies.
- Track and trend recurring scheduling errors and determine appropriate plans and training.
- Ensure hospitality is operating appropriately according to all policies and procedures.
- Ensure proper receipt of patient payments.
- Training of medical front desk in existing and new procedures/workflows.
- Maintain patients' and visitors' privacy and confidentiality. Treat all (staff, patients, and guests) with courtesy and respect.
- Greet Patients and visitors, answer, and triage phones calls, take initial patient complaints.
- Check-in patients which include: collecting paperwork, updating demographic information, verifying insurance, verifying pharmacy of preference, collecting payment, explaining sliding fee schedule, kiosk updates, and enrolling into patient portal.
- Schedule, change, and cancel patient appointments using electronic practice management program.
- Scan medical records into the electronic medical record system.
- Manage the waiting room by ensuring that all patients are processed appropriately.
- Generate referrals and prior authorizations to outside medical providers and insurers.
- Confirm next day appointments and pre-certify insurance for the next week's appointments.
Other duties:
- Add, update, and terminate alerts.
- Support Benefits Counselor with insurance eligibility and sliding fee schedule as needed.
- Assist in maintaining a calm atmosphere in the waiting area.
- Ensure the package delivery process is followed.
- Ensure that guests arriving at the Wellness Center for non-clinical appointments and meetings sign the visitors' log then contact the appropriate person in the building. Be attentive to the movement of staff and guests entering and leaving the building.
- Allow clinic access to staff, guests, and patients and identified delivery people only. Log and report any unusual activity.
- Assist in de-escalation efforts when patients or visitors become upset or agitated.
- Perform all other duties as assigned.
- Attend all required staff meetings (once weekly) and participate in daily huddles.
- Communicate with team members in a professional and respectful manner.
- Work in compliance with all medical policies.
- Work in compliance with standards such as VFC, OSHA, HIPPA, HRSA, CLIA and funding body regulations.
- Demonstrate commitment to clinical care and confidentiality.
- Report all concerns, in a professional manner, to the practice manager and/or medical director.
- Contribute to process the practice's process and quality improvement goals.
- Demonstrate professionalism in all interactions with patients and co-workers.
Other: Initial probationary period is three months. Performance of other tasks may be assigned on an as-needed basis.
Salary range: Competitive; Hourly
Travel Requirements: Minimal local travel required between Philadelphia FIGHT Health Centers.
Work Hours: 40 Hours/Week (M-F 9:00am - 5:00pm with occasional early mornings as needed to accommodate staff meetings and patient visits, and possible evening/weekend hours)
