About the Role:
The MOW Operations Coordinator will have the unique opportunity to work with the Meals on Wheels team. This role will coordinate the daily assembly, distribution, and delivery of home meals by all drivers. The selected person will also be responsible for reviewing routes, training, and leading MOW staff, as well as handling administrative duties.
Main Responsibilities:
- Manage assigned routes including drivers, relief drivers, documentation, and forms. Back-up drivers to ensure timely deliveries.
- Follow internal Meals on Wheels processes and procedures to ensure client safety and satisfaction and compliance with all funder and government regulations. Implement corrective actions to address issues of concern.
- Prepare, review, process, and transmit required program documentation. Collect appropriate data and prepare and transmit reports as needed.
- On a regular basis, review driver reporting (i.e. routing, directions, mileage sheets, and timesheets) to ensure accurate reporting by drivers.
- Monitor drivers on-the-job, at least annually, to ensure proper procedures are being followed and to verify route maps.
- Recommend adjustments to routes and schedules to assure efficient delivery, balanced workload, and maximum number of meals delivered between 10:30am and 1:30pm each workday.
- Assure that all drivers have valid and timely insurance documentation in consort with IM Human Resources department.
- Consult and work with the Manager of Client Service on client issues and ensure that drivers are reporting client needs in an appropriate and timely fashion.
- Maintain cleanliness and organization of personal work area and Moran Distribution Center. Assure preparations for daily operations. Maintain equipment and supplies and report needs and concerns.
- Assist the Manager of Operations in responding to questions, concerns, and complaints from clients.
- Oversee and ensure the distribution of monthly education information to clients.
- Coordinate and provide training and orientation for part-time drivers.
- Coordinate and provide direction to part-time drivers regarding on-the-job injuries. Assist the Human Resources Department with investigations of all accidents.
- Attend assigned meetings and training activities to learn current, new, and proposed regulations and policies then communicate and implement new or updated policies and procedures as well as conduct regular staff training meetings.
- Assist with the receiving and storage of products for the freezer and warehouse when required.
- Perform other duties as assigned by the Manager of Operations.
Qualifications, Skills, & Experience:
- Associate’s Degree or two years equivalent professional work experience may be substituted.
- Two (2) years program administrative or operational experience and direct supervisory of a large number of personnel is required.
- Fluency in written and spoken English is required.
- Excellent organizational skills. Ability to plan and organize multiple tasks, handle detailed work, and meet deadlines.
- Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint. Ability to quickly learn databases and prepare written and computer reports.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills. Must be able to interact with all levels of the organization and work effectively in a team environment.
- Food Service Manager’s Certification is required or may be earned in the 1st 90 days of employment.
- Must be able to lift at least 20 pounds on a regular basis.
- Must have a valid Driver’s license and automobile liability insurance as required by law.
