Position Summary
Under general supervision, provides responsible, varied and office administrative assistance for management and professional staff and performs related work as required. Responsible for tracking accuracy of the department’sannual budgetandgeneraloversightoftheDistrict’sbussignageprograms.Thispositionrequiresstrongorganizationaland follow-upskillsandtheabilitytoworkonmanyprojects.Requirestheuseofinitiative,independentjudgment,tactand discretion,particularlywhenworkingwithDistrictmanagementstaff,membersoftheBoardofDirectorsorrepresentatives ofotherorganizationstoexchangeinformationandexplainpoliciesandprocedures.

Essential Responsibilities
Prepares a wide variety of correspondence, documents, financial statements, reports and other materials.
Reviewsfinishedmaterialsforcompleteness,accuracy,compliancewithpoliciesandprocedures,andforcorrect English and grammarusage
Receivesandscreenstelephonecallsandvisitors;providesinformation,whichmayrequiretheuseofjudgmentor theinterpretationofpoliciesandprocedures
Maintainsdepartment’sbudget,includingissuingpurchaseordersandrequisitionsforpayment,trackingexpenses, processinginvoicesforpayment,verifyingpaymentandauditingannualexpenditurereportsforaccuracy
EnsureaccuracyofDistrict’stransitsignageprogram,includingidentifyingaffectedsignage,updatingandproducing signage,proofreadingsignage,ensuringsignageispostedandremovedinatimelymannerandmaintainingoffice records related to theprogram
ManageLost&Foundtagprogram,includingmaintainingthedelivery/inventoryinformationandreorderingtags when inventory getslow
Completes projects accurately from brief oral or written instructions
Workscloselywithotherssothatassignedcorrespondenceandprojectsarecompletedinatimelymanner,including keepingappropriatestaffapprisedofprojectstatusandactivity
Organizes and maintains department files, records and databases
Conductsandindependentlycarriesthroughavarietyofassignedspecialprojectsrelatedtotheactivitiesofthe department
ProvidesadministrativesupporttotheMarketingandCommunicationsdepartmentstaff Processes fundraiser donationrequests
Orders office supplies for the department
Minimum Qualifications
Education and/or Experience:
A combination of college level training and position related experience equivalent to:
Aminimumoftwoyearsrecentadministrativeexperienceperformingavarietyofduties,includingtwoyears advancedwordprocessingexperienceusingMicrosoftWord,Excel,andPowerPoint
Previousexperienceincustomerservice,communications,ormarketingispreferred Experienceworkingwithwebsitesandsocialmediaisaplus
Required License:
MustpossessandmaintainavalidCaliforniadriver'slicenseandsatisfactorydrivingrecord(mayrequiretravelfor outreacheventsortodelivertransitmaterials)
Physical Requirement:
Mobilitytoworkinatypicalofficesetting.Abilitytocommunicateinpersonandoverthetelephone.Abilitytoreadprinted materialsandacomputerscreen.Mayliftupto25pounds(toboxandliftfilesforstorage).Routineuseofcomputer, telephoneandotherofficeequipment.AbilitytotraveltoDistrictfacilities.
