POSITION OVERVIEW
The marketing coordinator provides support to the marketing director and to others actively involved in marketing efforts. This role plays a critical part in ensuring the seamless execution of marketing initiatives and the professional representation of the Firm at conferences, events, and in various content channels.

The salary offered will be commensurate with experience. The marketing coordinator provides support to the marketing director and to others actively involved in marketing efforts. This role plays a critical part in ensuring the seamless execution of marketing initiatives and the professional representation of the Firm at conferences, events, and in various content channels.
KEY RESPONSIBILITIES
Industry Conferences
- Coordinate the Firm’s extensive industry conference plan, maintaining a Firm-wide monthly conference attendance and speaking schedule
- Obtain all conference registration, speaker, sponsorship and expense information well in advance of conferences
- Secure conference booths, sponsorships and registrations
- Track speaking proposal submissions and acceptance
- Obtain speaking engagement descriptions from presenters for advance promotion of presentations
- Order booth furnishings from conference vendors
- Ship booth materials to and from conferences
- Manage conference portal and app content
- Monitor post-event analytics and feedback to assess the effectiveness of conference participation
- Coordinate and implement logistical tasks for the Firm’s annual staff conferences including room reservations, meals, correspondence with hotel and firm members, etc.
- Secure locations for all firm meetings, including coordinating logistics for Board and Executive Leadership Team retreats
- Maintain a Firm-wide monthly special events schedule
- Assist in the planning and execution of client and prospect dinners at conferences and other special events to include securing a venue, invitations, guest lists, catering and RSVP tracking
- Manage logistics and budget for the Azure Summits
- Coordinate with stakeholders to ensure branding consistency across all special events
- Maintain a monthly content calendar to include webinars, special reports, blogs, email campaigns, and social media
- Collaborate with content contributors to ensure alignment with Firm goals and marketing strategy
- Develop and maintain production timelines and assist in ensuring deadlines are met
- Maintain thought leadership calendar
- Conduct a weekly quality assurance review of the major landing pages and content areas on the Firm’s website; report and facilitate corrections
- Update client lists on a quarterly basis
- Update consultant résumés annually or as requested by consultants and/or Client Relations
- Monitor website engagement metrics
- Schedule Executive Leadership Team meetings
- Pay and approve invoices and send to Director of Finance
- Maintain the “no advertising” list of clients
- Maintain list of publications purchased
- Renew and purchase Firm memberships
- Maintain membership rosters for CASE and AHP
- Store and maintain inventory of marketing materials
- Order business cards and print materials
- Send new employee welcome gifts
- Add contacts and leads in CRM as requested
- Respond to info@ emails and clean up email bounce backs
- Participate in marketing-related association meetings and develop contacts
- Participate in regular status calls with the marketing director
- Participate in marketing calls, documenting discussion and follow-up items
- Assist in tracking and reporting marketing KPIs, including lead generation and campaign effectiveness
- Other duties as assigned by the Director of Marketing and the Firm’s Executive Leadership Team
The marketing coordinator should demonstrate the following:
- Ability to write at a level appropriate for business correspondence and willingness to adhere to the style guidelines followed by Marts&Lundy
- Strong interpersonal skills with a commitment to treating internal and external contacts as clients to whom marketing will always provide exceptional service
- Ability to establish relationships with our conference partners
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook and PowerPoint
- Enthusiasm for learning additional software programs, including InDesign
- A strong work ethic that is evidenced by completing all responsibilities, even when left without daily supervision, and by asking for assistance and/or direction, when needed
- Minimum of 3-5 years of experience
- Bachelor’s degree, and/or equivalent professional work experience, preferably in marketing, communications or a related field
- Experience in project management
- Experience in professional editing and writing (preferred)
- Experience with marketing analytics tools (preferred)
