The Plant Administrative Assistant performs all duties associated with running the office of a manufacturing facility. Including customer service, scheduling transportation, sales order entry, issuing PO, good receipt, filing and other administrative tasks as assigned.
Essential Duties & Responsibilities
- Receives and processes customer purchase orders by phone, fax or email. Corporate customer service or sales may also receive orders. Preparation and maintenance of records associated with customer purchase orders including sales order and bill of lading.
- Serves as customer liaison on all matters affecting delivery, pricing, quality, quantity and service. Works with other departments acting within established criteria, schedules and other services required by the customer.
- Coordinates desired shipping dates with plant management and operations.
- Processes customer complaints or positive feedback using appropriate forms and obtaining all pertinent facts.
- Manages plant accounting activities, assisting management and production engineer in generating purchase orders, goods receipts, and site related contractor services such as cleaning, landscaping and snow removal.
- Maintains office supplies and equipment.
- Comply with all federal, state, and local environmental, health, and safety regulations and requirements.
- Comply with company policies.
- Other duties as assigned or required.
Qualifications
- High school diploma or equivalent
- A minimum three (3) years of experience in similar or related field, or any equivalent relevant combination of experience and training
- Must be proficient with Microsoft Office Products (Excel, PowerPoint, Outlook, and Word), SharePoint and SAP.
- Experience working with and maintaining sensitive and confidential information
- Experience is supply chain and accounting is preferred
- Exceptional communication skills, both verbal and written
- Strong organizational skills
- Experienced working in a team environment and working cross functional with other departments
