This newly created role on the Workplace Services team is a key step in ensuring that MIHQ functions meet our standards of excellence for our associates and guests and are thoughtfully planned and coordinated with our internal stakeholder teams to reach their highest potential outcomes.
This role is accountable for the overall success of the Events Team within the Workplace Services Department. The candidate maintains program knowledge by conducting planning meetings, conference calls, and reviewing intake details prior to start of meeting/event. They will partner with Workplace Services team to verify issues are identified and resolved. They will attend site walkthroughs, tie-down meetings, any internal meetings related to security, visitors, parking, AN, catering, or production. The role will also manage and lead workplace services specialists and event set-up staff to assist with all events.
CORE WORK ACTIVITIES
Workplace Services, Events, and Maintaining Inventories
• Conducts pre-event meetings as needed to understand group needs
• Establishes consistent standards for meeting room sets and VIP meeting room sets
• Conducts function room inspections prior to functions with Coordinator to ensure the room is set according to specifications
• Maintains cleanliness and sanitation standards in all event operation areas
• Acts as a single point of contact for the meeting/event planner and is available for the Catering Team, Event
Technology Team, and assigned Coordinator throughout the event
• Guides meeting/event planners to find optimal set up configurations and leads the team in providing the
proper room set ups based on requirements and standards, personally assisting when needed.
• Projects supply and equipment needs for the department
• Coordinates and recommends routine maintenance to ensure a quality meeting facility
• Solves problems and/or suggest alternatives to previous arrangements if necessary
• Attends and participates in all pertinent meetings
• Leads team and actively participates in the servicing of events as needed
• Ensures function rooms are set according to event documentation (Intake forms, checklists, etc.) and
customer requirements.
• Develops and trains team to complete work thoroughly, promptly, and safely
• Provides coordination and support for delivery of workplace services like A/V support, meeting and event
management, supply and expense management, equipment care, etc.
• Connect with building engineering for maintenance repairs and issues and ensure work orders are completed and create tickets for soft services
• Maintain visitor management process and coordinate with security for compliance
• Recommends programs, amenities, and services that promote workplace experience
• Develops performance metrics and provides reporting on conference rooms and event spaces that will influence design, use, and layout in these spaces
Providing and Ensuring Exceptional Customer Service
• Empowers associates to provide excellent customer service
• Understands the impact Workplace Services has on the overall success of an event and manages
activities to maximize customer satisfaction
• Sets a positive example for guest relations, directs, and motivates team to provide an elevated level of service
• Strives to improve service performance and makes presence always known to customer
• Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement
Managing Workplace Services Team
• Schedules associates to ensure shift coverage and meet business demands and productivity goals
• Establishes and maintains open, collaborative relationships with associates and ensures associates do the
same within the team
• Conducts associate performance reviews and provides feedback as needed
• Communicates performance expectations in accordance with job descriptions for each position.
• Delegates tasks to ensure room sets are "on time" and meet Event guidelines
Required Education and Experience
• Bachelor's degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business
Administration, or related major
• Minimum 4 years of experience in the event management or related professional area
• Supervisory/management experience
• Proficiency using Microsoft Office, Excel, and Outlook computer programs
• Experience with business intelligence platforms highly preferred
The salary range for this position is $81,100 to $143,400 annually.
