This is a full-time, 12-month, exempt position that reports to the Director of Fiscal Services and is located on JWCC's main campus in Quincy, Illinois. Position begins March 1, 2025.
JOB DESCRIPTION
The Manager of Student Accounts is responsible for overseeing all student account activities, ensuring accuracy, compliance, and excellent customer service. This role is central to managing billing, payment processing, and collections while collaborating with internal departments to support student success.
KEY RESPONSIBILIES
- Manage the daily operations of the student accounts area, including student receivables, third-party-billings, preparation of student refunds, and posting of staff tuition waivers per Board policy.
- Ensure compliance with federal, state, and institutional policies regarding student financial accounts.
- Develop and implement collection procedures and collaborate with external agencies as needed.
- Daily account reviews, bank deposit verifications, responsible for securing cash and other deposits, and timely deposits of funds collected.
- Maintain compliance with various state, federal regulations, and board policies, and the preparing of filing of IRS 1098T tuition statement forms.
- Administer student scholarships received from outside sources.
- Supervises, trains, evaluates, sets goals, and provides guidance for accounts receivable staff on student accounts procedures and policies.
- Collaborate with Financial Aid, Admissions, and other departments to ensure seamless communication and support for students.
- Prepare and analyze reports related to student accounts, revenue, and receivables, such as Month End Reporting and Monthly Account Reconciliations of Receivables.
- Develop and implement strategies to improve efficiency and enhance the student experience.
QUALIFICATIONS
Education:
- Bachelor's Degree in Finance, Accounting, or Business Management or a related field is required, relevant experience will be considered.
- Minimum of 3 years of experience in accounts receivable and collection experience or business experience with knowledge of collection methods and procedures, preferably in higher education.
Skills and Competencies:
- Strong knowledge of accounting principles, financial systems, and regulatory compliance.
- Proficiency in using financial software and Microsoft Office Suite (Excel, Word, etc.).
- Excellent organizational, analytical, and problem-solving skills.
- Supervisory and Customer Services experience is highly preferred.
- The ability to gather and analyze data, compile information, and prepare reports, use judgment, and adhere to strong confidentiality and integrity standards.
- Experience in an educational or public sector setting is a plus.
- Strong interpersonal and communication skills, with the ability to work collaboratively with diverse teams and with a customer service mindset.
- Ability to adapt quickly, troubleshoot issues, and make informed decisions.
Work Schedule:
- Full-time position with a typical schedule of Monday-Thursday (8am - 5pm) and Friday (8am - 12pm).
SALARY:
- This is an exempt position with an estimated salary range of $48,000.00 - $60,000.00.
