The Role

Reporting to the CEO and Leadership Team, the Manager of People Operations & Administration oversees Human Resources and general office administration, as well as the systems and processes supporting NYPI’s fee for service engagements. They serve as an HR subject matter resource for all staff members and the leadership team, oversee all administrative functions, and manage relationships with IT, finance, and HR vendors, consultants, and contractors. They work closely with the CEO, program staff, professional employer organization (Trinet), and the external accounting firm and IT team to execute these responsibilities. They also manage and collaborate with the part-time Administrative Associate to ensure effective and efficient operations. More specifically, the Manager is responsible for the following: 

People Operations (50%)

• Manage all day-to-day people operations, including the full employment lifecycle of NYPI’s staff: hiring and onboarding, retention and engagement, professional development, performance management, and offboarding
• Coordinate with and serve as system administrator and primary liaison to the organization’s PEO/human resources information system (Trinet)
• Support the leadership team in implementing NYPI’s strategic priorities and DEI plan to ensure diversity, inclusion, equity, and belonging are embedded throughout the organization and its work
• In partnership with the leadership team and people managers, ensure NYPI and all staff comply with organizational policies and procedures
• Oversee the annual review and implementation of organizational policies
• Keep a pulse on employee relations, satisfaction, and engagement, and serve as the point person for staff member’s HR related questions
• Maintain knowledge of trends, best practices, regulatory changes, and new technologies in HR, talent management, and employment law, and review and modify organizational policies and practices to ensure compliance with federal, state, and local employment laws, regulations, and best practices
• Promote staff engagement and an organizational culture that encourages self-care as well as a commitment to performance and achievement, helping NYPI live into its core values of Commitment, Empathy, Transparency, Flexibility, Community, & Quality
• Model a high-performing and stable culture of trust, accountability, collaboration, transparency, and joy in which all employees feel welcome, appreciated, and have access to opportunity

Administration (40%) 

• Collaborate with the Admin Team and external vendors to oversee and manage the effectiveness of the organization’s facilities, website and data systems, and information and technology systems
• Ensure that staff have access to the supplies, technology, and tools they need to be effective in their roles, and that these tools and technologies are well maintained and updated 
• Develop and maintain productive relationships with office and IT vendors, contractors, and partners
• Ensure NYPI’s Manhattan and Brooklyn Centers are welcoming, safe, and inclusive for all staff, volunteers, clients, and visitors
• Define, implement, and revise operational policies and procedures as needed
• Provide administrative support for outreach, program, and fundraising efforts
• Review and approve accounts payable, accounts receivable, and employee reimbursement transactions as needed and work with accounting team to ensure financial compliance
• Attend relevant program activities, as needed, and participate in staff-wide activities and events

Fee for Service/Contracting Support for Programs (10%)

• Refine and manage the administrative systems and processes that support NYPI's fee for service engagements
• Partner with program staff to develop internal work plans (staffing, timelines, deliverables, etc.) for the management of fee for service engagements
• Ensure fee for service client and engagement data is accurately recorded in NYPI's data management systems
• Work with potential clients and NYPI program staff to assess client needs and prepare proposals
• Steward the contract execution and client invoicing processes

Required Qualifications 

• Commitment to the mission and values of New York Peace Institute and to creating a diverse, equitable, and inclusive work environment
• 5 years of work experience in non-profit operations or administration, including human resources/people operations experience
• Familiarity with employment law, compliance, and regulatory standards governing the workplace
• Superior interpersonal communication, conflict resolution, and coaching skills; the ability to garner the trust of a team and work with staff at all levels
• High level of cultural competency and the ability to communicate and interact effectively with people across cultures who have varying beliefs 
• Ability to exercise excellent judgment in decision-making and demonstrate trustworthiness in dealing with confidential matters
• An entrepreneurial and collaborative approach, ready to build new systems, lead and manage change, and roll up sleeves for whatever work may be needed
• Adept at navigating Microsoft Office Suite, Google Drive, and CRMs as both an administrator and employee
• Excellent organization, time management, and project management skills; ability to coordinate among various stakeholders to complete projects and activities
• Eligibility to work in the United States
• Commitment to social justice and a nuanced understanding of the ways in which NYPI’s work intersects with race and equity

Preferred Qualifications 

• Bachelor’s degree or equivalent work experience
• An investment, familiarity, and/or lived experience in NYC
• Prior work experience in a mission- and culture-driven organization 

Compensation & Benefits

We benchmark and set our salaries based on other similarly sized nonprofit organizations in New York City. The salary range for this position is $65,000 - 75,000. We also offer the following benefits to full-time employees:
