Title: Manager, Facilities
Location: Support Services, 12855 E. Adam Aircraft Circle, Englewood, CO 80112
Reports to: Director of Finance, Facilities & Safety
FLSA Status: Exempt, full-time
Pay Rate: $93,500 - $124,600
Purpose: Manage the operations and project management for 200,000 square feet of physical facilities, including supervision of construction, maintenance projects, and management of company vehicles. Works with the Director of Finance, Facilities & Safety to create a future-focused facilities plan in response to trends, community needs, and strategic goals. Lead the department and staff, ensuring alignment with organizational objectives, fostering a positive work environment, and driving continuous improvement in facilities operations.
Essential Duties and Responsibilities:
75% FACILTIES OPERATIONS/PROJECT MANAGEMENT
- Provide strategic oversight for facilities operations, ensuring the safety, regulatory compliance, and efficient functioning of all buildings and systems. Oversee daily operations to ensure that facilities and vehicles remain fully operational during regular business hours.
- Provide strategic oversight for fleet management operations, ensuring fleet safety, regulatory compliance, and efficient coordination of delivery and courier services.
- Develop and manage the annual facilities and fleet operations budget, including oversight of a $4+ million departmental budget and a capital budget ranging from $500K to $25 million for construction and renovation projects. Responsibilities include preparing budget, monitoring expenditures, approving purchase orders and invoices to ensure work is completed properly, expenses are accurately priced, and all transactions are thoroughly documented.
- Oversee the procurement process for facilities-related services and supplies, ensuring compliance with procurement policies and regulations. Manage vendor and supplier identification, contract negotiation, and lifecycle management. Maintain strong vendor relationships and monitor performance to ensure high-quality, timely delivery of services and materials. Maintain inspection ready files per retention schedule.
- Oversee and manage all phases of building projects, including renovations, expansions, and new construction, from initial planning and design through project completion. Ensure projects are delivered on time, within budget, and in compliance with safety and building codes.
- Collaborate with architects, contractors, and engineers to develop project plans, review design specifications, and monitor progress to ensure quality standards and project goals are met.
- Coordinate construction schedules, manage budgets, and communicate project status with stakeholders to ensure transparency and alignment with organizational objectives.
- Ensure clear and effective communication with leadership and direct reports to align priorities, project timelines, and operational needs. Provide regular updates on facility status, challenges, and progress to ensure transparency and collaboration across the organization.
10% SUPERVISION & LEADERSHIP
- Recruits, interviews, hires and trains new department staff.
- Sets objectives for direct reports, makes resources available, troubleshoots problems.
- Oversees and manages the priorities and work activities of assigned area.
- Monitor and develop employee performance, including delivering recognition and constructive and timely evaluations.
- Handles discipline and terminations in accordance with practice.
- Provide leadership and direction to ensure that team activities are aligned with organizational goals, project timelines, and safety standards.
- Foster cross-functional collaboration with internal departments, stakeholders, and external agencies to support project completion, ensure compliance with safety regulations, and enhance operational efficiency across the facilities team.
- Ensure consistent vendor and contract management practices across the department, providing oversight for vendor selection, contract negotiation, and performance evaluation in alignment with organizational policies and standards.
10% RISK MANAGEMENT
- Coordinate insurance policy coverage by assessing risks, reporting accidents and losses to insurers, managing claim settlements, and arranging repairs and replacements to address property and casualty losses.
- Ensure compliance with administrative, legal and regulatory requirements of governmental and accrediting agencies.
- Monitor staff and patron injury reports and implement necessary facility adjustments in response to identified needs.
- Ensure that facilities are in compliance with fire prevention, general safety, health hazards protection, disaster preparedness, crisis communication, and emergency preparedness plans.
- On-call in crisis situations.
5% SUSTAINABILITY
- Develop and implement sustainability initiatives for facilities management, focusing on energy efficiency, waste reduction, and environmentally responsible practices. Monitor and evaluate the impact of these initiatives to ensure alignment with organizational sustainability goals and compliance with relevant regulations.
Actively contribute as assigned to project work, as team members or project manager, in alignment with ALD Project Management guidelines.
Performs other related duties and may contribute to cross-functional initiatives and projects as assigned and requested.
Minimum Qualifications:
- Five years of facilities management experience at the supervisory level.
- Possess knowledge of practices, procedures, equipment, and materials used in HVAC systems, plumbing, electrical work, landscaping, janitorial services, carpentry, painting, as well as new construction and renovations.
- Construction project management skills.
- Intermediate skill in building automations systems.
- Intermediate technology skills for Microsoft 365 (Word, Excel, Outlook) and familiarity with Microsoft Edge and Microsoft Teams, and an ability to learn and apply new technologies.
- Ability to maintain confidentiality and use tact and discretion in the conveyance of confidential information.
- The ability to influence and motivate others is essential to the job, requiring skills in diplomacy, trust and team building.
- Ability to communicate effectively and work cooperatively with patrons and employees.
- Management aptitude, including management education and experience, leadership skills; responsibility for outcomes; personal productivity; practical thinking; adaptability; coaching; and business ethics.
- Ability to travel to library district locations.

- RPA, FMP, and FMA designations, preferred.
