PRIMARY FUNCTION: In keeping with the Mission Statement and Principles of Covenant House, the Maintenance Manager is responsible for overseeing the overall maintenance and upkeep of the shelter’s physical facilities, and vehicles ensuring a safe, functional, and welcoming environment for youth experiencing homelessness. This role involves managing a team of maintenance staff, performing routine inspections and repairs, coordinating external contractors, and ensuring compliance with safety and health regulations. The Maintenance Manager plays a key role in creating a safe, comfortable, and supportive environment for both residents and staff by maintaining shelter facilities, systems, and equipment in optimal condition.
Essential Duties and Responsibilities:
Key Responsibilities:
1. Facility Maintenance & Operations:
- Oversee the general maintenance and repair of the shelter's physical infrastructure, including the building, HVAC systems, plumbing, electrical systems, and grounds.
- Manage a team of maintenance workers and ensure that daily maintenance tasks are completed promptly and efficiently.
- Perform regular inspections of shelter facilities, identifying areas that need repair, maintenance, or improvements.
- Respond to emergency maintenance issues quickly to minimize disruptions to shelter operations, including plumbing issues, power outages, or HVAC failures.
- Ensure the shelter is compliant with all local and state building codes, health and safety regulations, and fire safety requirements.
- Oversee the compliance of fleet vehicles, including maintenance, titles, registration etc. and any repairs needed as reported by the Transport Technician.
2. Team Leadership & Staff Management:
- Supervise and train maintenance staff, including assigning daily tasks, monitoring performance, and conducting performance evaluations.
- Ensure that maintenance staff follows best practices for safety and service standards, maintaining a respectful and professional work environment.
- Provide hands-on support and guidance to maintenance personnel, including coaching and mentoring, particularly in relation to technical skills and troubleshooting.
- Manage scheduling for preventive maintenance, repairs, and routine inspections to optimize efficiency and reduce service disruptions.
3. Preventative Maintenance Program:
- Develop, implement, and manage a comprehensive preventive maintenance program for all shelter systems and equipment, including HVAC, plumbing, electrical, elevators, fire alarms, etc.
- Maintain records of all preventive maintenance tasks and repairs, ensuring equipment and systems are regularly serviced to reduce the risk of downtime or failure.
- Ensure that necessary maintenance supplies, tools, and equipment are available for staff to perform their duties efficiently.
4. Vendor & Contractor Management:
- Coordinate with external contractors and vendors for specialized repairs or services (e.g., plumbing, electrical, cleaning, pest control, etc.).
- Negotiate contracts and manage relationships with third-party service providers, ensuring services are delivered on time, within budget, and to required quality standards.
- Oversee the procurement of maintenance materials, tools, and equipment from vendors, ensuring cost-effectiveness and quality.
5. Safety & Compliance:
- Ensure that all shelter facilities and operations comply with health, safety, and environmental regulations, including fire safety, sanitation, and general building codes.
- Maintain a safe working environment for both shelter residents and staff, identifying and addressing potential hazards in the building or on the grounds.
- Develop, implement, and enforce safety procedures for routine and emergency maintenance, including protocols for handling hazardous materials or emergency repairs.
- Ensure that fire extinguishers, emergency exits, and other safety equipment are accessible, inspected, and in working order.
6. Facility Improvements & Renovations:
- Plan and oversee any renovation or improvement projects in the shelter to improve the quality of living spaces, common areas, or staff facilities.
- Work closely with the Shelter Director to assess and prioritize capital improvements based on resident needs, facility assessments, and available resources.
- Manage the implementation of renovations, ensuring projects are completed on time, within budget, and in compliance with relevant codes and safety standards.
7. Budgeting & Cost Control:
- Assist in the development of the shelter’s maintenance budget, ensuring all expenditures are well-managed and within approved limits.
- Track and report on maintenance expenses, including labor, materials, and contracted services.
- Identify and implement cost-saving measures without compromising the safety or quality of the shelter’s operations.
8. Communication & Coordination:
- Collaborate closely with other shelter departments (e.g., shelter staff, case managers, food services) to ensure facilities are well-maintained and operational for all program activities.
- Communicate effectively with shelter residents and staff regarding upcoming maintenance work, repairs, and potential disruptions to services.
- Respond to maintenance-related inquiries and requests from shelter staff or residents in a timely and professional manner.
9. Record-Keeping & Reporting:
- Maintain accurate records of all maintenance work performed, including service schedules, repairs, inspections, and warranties.
- Prepare regular maintenance reports for the Shelter Director, highlighting ongoing issues, completed work, and upcoming maintenance needs.
- Document and track the status of maintenance requests, ensuring timely follow-up and resolution.
Qualifications:
Education & Experience:
- High school diploma or equivalent required; technical certifications in facilities management, building maintenance, or related fields.
- Minimum of 5 years of experience in facility management or building maintenance, with at least 2 years in a supervisory or managerial role.
- Experience in managing or supervising maintenance staff is highly desirable.
- Experience working in a shelter or nonprofit environment is a plus.
Skills & Abilities:
- Strong knowledge of building systems (HVAC, plumbing, electrical) and general maintenance practices.
- Ability to diagnose and repair a wide range of building issues, from minor repairs to larger systems.
- Proven leadership, management, and team-building skills.
- Strong organizational and project management skills, with the ability to prioritize tasks and manage multiple work orders.
- Ability to maintain a calm, professional demeanor when dealing with emergencies or challenging situations.
- Excellent communication skills, with the ability to effectively interact with staff, residents, contractors, and external vendors.
- Knowledge of health and safety regulations, fire codes, and building compliance.
Physical Requirements:
- Ability to perform manual labor, including lifting up to 50 lbs and using hand tools or machinery for repairs.
- Ability to stand, kneel, bend, and climb as required for facility repairs and inspections.
- Comfort with working in varying environments, including outdoor areas, basements, and rooftops.
Working Conditions:
- Full-time position, with hours typically falling within regular business hours, though occasional evenings, weekends, or on-call hours may be required for emergency maintenance.
- The position involves both indoor and outdoor work in a variety of weather conditions.
- The Maintenance Manager may be required to respond to emergency maintenance calls outside of regular working hours.
