About the position:
The Long-Term Escrow Officer is responsible for handling long term escrow files from the date of inception through the date of completion including handling all inquiries, payments and correspondences for the transaction. This position acts as general support in tasks needed to maintain department efficiency and customer satisfaction. This position requires professional communication with various types of customers, including but not limited to Lenders, Realtors, Attorneys, CPAs,and also the Buyers and Sellers being serviced. Provides accurate professional service to all customers who call or walk into the office. The position requires a high level of accuracy and ability to complete tasks in a timely manner.
This position reports to the President, Title Financial Specialty Services (TFSS).
Job Duties Include:
- Administers long-term escrow accounts from inception through date of completion or cancellations. Includes but is not limited to customer inquiries, daily application of payments, daily entries to reconciliation, payoff statements, disbursement of payments and reserves balances, recovery of “NSF” payments and any issues that may arise with this type of a transaction and updating information once authorization has been received.
- Set ups and closes escrow files in an accurate and timely manner. Includes auditing new files to ensure proper documentation and instruction have been received and the ability to determine what documentation needs to be filed/released when a file is paid in full/closed.
- Enters file data into the computer including but not limited to assigning file numbers, depositing and disbursing funds, issues receipts and data for daily processing and reconciliation. This position also needs to master the current software programs needed to perform the job.
- Communicate with company employees and customers by phone, in person or through email or other correspondence.
- Performs a variety of clerical tasks for the department, which may include mail duties, filing, answering phones, typing documents, making deliveries.
- Administers all 1098 and 1099 interest filing and maintenance for all long-term escrow accounts.
- Develop and maintain a client base by effective marketing and ensuring that clients are provided exceptional quality and accuracy in products and services.) Attends all staff meetings, seminars, and training as required.

Education and Experience:
- Must be at least 18 years of age.
- Must have a valid driver’s license and have the ability to pass an MVR and background check.
- High school diploma or a general education degree (GED) is required.
- At least 2 years customer service experience with frequent communication is required.
- Previous experience in title and escrow, banking or an office environment is preferred.
Physical Requirements:
- Prolonged periods of sitting / standing at a desk and working on a computer.
- Ability to lift and carry packages up to 25 pounds at times.
- Ability to operate a company vehicle or personal vehicle for company errands or training.
- In person or phone communication is required.
