Opportunity
We are seeking a detail-oriented and organized individual to join our Impact Class Logistics Team. This role is vital in ensuring the seamless execution of logistics for our Impact Classes nationwide. The ideal candidate will excel in administrative and communication tasks, manage multiple priorities efficiently, and thrive in a fast-paced, dynamic environment.
Responsibilities:
Update and maintain cost of change reports and ensure Independent Contractor flight tracking accuracy.
Organize and manage rooming lists and the transportation matrix.
Ensure all event updates are accurately reflected in Teams and other platforms.
Secure and maintain storage units and inventory, including locks and related tools.
Plan, track, and label event equipment; maintain an equipment tracker.
Create and manage rooming lists, confirm rentals and finalize details.
Compile and update transportation matrices for each event.
Set up Teams channels for event communication and ensure they’re updated with relevant details.
Create and manage tasks in Asana, keeping the system organized and up to date.
Support new hire onboarding, including name tags, Teams setup, and more.
Re-check Independent Contractor flight tracking for accuracy and ensure all flights are accounted for.
Coordinate and manage special experiences associated with events.
Handle communication (calls, texts, emails) with representatives, admins, techs, and brand managers.
Provide timely and professional responses to all event-related inquiries.
Offer administrative support for various event logistics.
Assist the logistics team with other tasks as needed.
Qualifications:
Reliable and punctual, ensuring timely completion of assigned tasks.
Flexibility to adjust work hours as needed to accommodate seminar schedules.
Strong problem-solving skills, able to troubleshoot issues and seek solutions
Strong organizational and administrative skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Teams and Asana preferred.
Ability to multitask and work under tight deadlines in a fast-paced environment.
Previous event logistics or administrative experience is a plus.
