We are seeking a detail-oriented and organized Logistics Administrative Assistant. The successful candidate will support the logistics department by managing administrative tasks, ensuring smooth operations, and maintaining accurate records. This role requires excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Administrative Support: Provide administrative support to the logistics team, including scheduling, preparing reports, and managing correspondence.
- Documentation Management: Maintain accurate records of shipments, transportation documents, and invoices. Ensure all documentation is correctly filed and easily accessible.
- Data Entry: Accurately input and update logistics-related data into company databases and systems.
- Communication: Liaise with suppliers, freight forwarders, and customers to coordinate shipment details, resolve issues, and provide updates.
- Inventory Control: Assist in monitoring inventory levels, conducting stock checks, and updating inventory records.
- Compliance: Ensure all logistics activities comply with company policies and relevant regulations. Assist in preparing documentation for customs and regulatory compliance.
- Reporting: Generate and analyze logistics reports, highlighting key metrics and providing insights for process improvements.
- Support Logistics Operations: Assist with coordinating inbound and outbound shipments, tracking deliveries, and managing logistics schedules.
- Customer Service: Address customer inquiries related to shipments, delivery times, and logistics issues in a professional and timely manner.
- Continuous Improvement: Identify opportunities for process improvements within the logistics department and support the implementation of new initiatives.
- Experience: Minimum of 2 years of experience in an administrative role, preferably within logistics, supply chain, or a related industry.
- Skills:
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience with logistics software and databases is an advantage.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Detail-oriented with strong analytical skills.
- Ability to handle multiple tasks simultaneously and meet deadlines.
Salary
17 - 22 /hour
