Adams & Martin Group has partnered with a dynamic boutique law firm located in South Orange County, seeking a skilled and detail-oriented Mid-Level Litigation Secretary to join our team. This position offers a hybrid work schedule, providing the flexibility of remote work combined with in-office collaboration. The ideal candidate will have a proven track record of supporting attorneys in litigation practices, excellent organizational skills, and a proactive approach to handling tasks.
Responsibilities
- Provide comprehensive administrative and secretarial support to attorneys specializing in litigation.
- Prepare, format, and proofread legal documents, including pleadings, motions, correspondence, and discovery.
- File legal documents in state and federal courts (including e-filing systems such as CM/ECF and File & Serve).
- Maintain and organize case files, ensuring accuracy and accessibility.
- Manage attorney calendars, schedule court dates, depositions, and client meetings.
- Coordinate travel arrangements and handle expense reports.
- Communicate professionally with clients, court personnel, opposing counsel, and vendors.
- Monitor deadlines, ensuring compliance with all court and procedural requirements.
- Assist with trial preparation, including organizing exhibits, binders, and other materials.
- Perform other administrative duties as required to support the litigation team.
Qualifications
- Minimum of 3-5 years of litigation secretarial experience, preferably in a boutique or mid-sized law firm setting.
- Proficiency in state and federal court filing procedures, including electronic filing systems.
- Strong knowledge of litigation terminology, procedures, and calendaring.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent written and verbal communication skills.
- High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal document management software.
- Ability to maintain confidentiality and exercise discretion.
- Self-motivated with a strong work ethic and a team-oriented mindset.
- Familiarity with legal billing software is a plus.
