Adams & Martin Group is working with a reputable boutique law firm in South Orange County is seeking a skilled and experienced Mid-Level Litigation Secretary to join our team. This position is ideal for a detail-oriented professional who thrives in a dynamic legal environment and is committed to delivering high-quality administrative and litigation support to attorneys.
Key Responsibilities:
- e-Filing: Accurately prepare and process electronic filings for both State and Federal Courts, ensuring compliance with all court rules and deadlines.
- Court Calendaring: Manage court calendars for State and Federal cases, including scheduling hearings, deadlines, depositions, mediations, and other case-related activities. Track and ensure timely follow-up on all critical dates.
- Document Management: Format, proofread, and edit legal documents such as pleadings, motions, discovery, and correspondence with a keen eye for detail.
- Attorney Support: Provide general administrative assistance to attorneys, including managing communications, organizing case files, preparing client correspondence, and coordinating travel arrangements when necessary.
- Administrative Tasks: Handle daily office responsibilities such as processing mail, maintaining client records, and assisting with other duties as assigned to support the firm's operations.
- Collaborate effectively with attorneys, paralegals, and other staff to ensure smooth workflow and case management.
Qualifications:
- Minimum 3-5 years of litigation secretarial experience, with a strong understanding of State and Federal court rules, filing requirements, and procedures.
- Proficiency in e-filing platforms (e.g., PACER, CM/ECF, and state-specific systems).
- Advanced proficiency in Microsoft Office Suite (Word, Outlook) and legal document management software.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and prioritize in a deadline-driven environment.
- Exceptional attention to detail and accuracy in formatting and editing legal documents.
- Excellent verbal and written communication skills, along with a professional demeanor.
- Ability to work both independently and as part of a team in a hybrid work environment.
Preferred Qualifications:
- Experience working in a boutique law firm setting.
- Familiarity with litigation software tools, such as case management systems or calendaring platforms.
- A proactive, solutions-oriented approach to problem-solving and workflow management.
