About the Job
We are currently seeking a dedicated and experienced Litigation Secretary to join our Downtown Houston office. In this role, you will provide comprehensive litigation, administrative, and clerical support to a team of attorneys. Your contributions will help streamline office operations and case management processes, ensuring our attorneys have the reliable support they need. This role offers a dynamic blend of administrative, organizational, and client-facing responsibilities in a collaborative and professional team environment. Key Responsibilities
- Attorney Support : Provide secretarial assistance to 4–5 attorneys.
- Case Management : Manage case deadlines, prepare for trials, and conduct research.
- Document Preparation : Transcribe, edit, and proofread legal documents, including appeals, motions, and petitions.
- Calendar & Scheduling : Maintain attorney calendars; coordinate hearings, depositions, and other proceedings.
- Client Interaction : Communicate effectively with clients, colleagues, and external parties.
- Filing & Records : Organize and manage legal documents using document management systems and maintain court dockets and filings.
- Billable Entries : Enter and track attorneys’ billable hours.
- Information Management : Research and verify case details; handle confidential documents with discretion.
- Administrative Tasks : Answer phones and emails, take messages, and manage correspondence.
Qualifications
- Education : Associate degree or equivalent legal education preferred.
- Experience : Minimum of 5 years of legal secretarial experience in litigation.
- Skills :
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Teams).
- Familiarity with office equipment (printers, fax machines, photocopiers).
- Experience with document management software is a plus.
- Certifications : Notary public designation is a plus.
